Administrative Management, Office Administrator/ Coordinator
This position is primarily an administrative support role focused on supporting the day-to-day needs of the team and volunteers.
SummaryUnder direct supervision, provides support to the Senior Manager, Operations by coordinating Show-related security and safety operations, serving as Staff Coordinator for assigned committees, supporting committee operations and budgets, managing incident documentation and communications, assisting with the Show credential process and performing related department responsibilities to promote safe, efficient and well-aligned operations.
ESSENTIAL DUTIES AND RESPONSIBILITIESinclude but are not limited to the following:
- Staff Coordinator Committee Support
- Serves as Staff Coordinator for assigned committees, including the Medical and Safety Committee, and works directly with committee officers, chairmen, committee leadership and volunteers to communicate Show policies, management decisions and operational expectations.
- Provides administrative support and direction to assigned committees and serves as liaison between the Show and committee leadership regarding committee responsibilities, policy adherence and operational needs.
- Acts on behalf of assigned committees when coordinating with outside contractors and vendors, as appropriate, to support committee operations and event execution.
- Coordinates committee meetings and events, including room reservations, room setup, hospitality requests, audiovisual needs, contracts and communication with staff, volunteers and vendors throughout the planning process.
- Coordinates with committee leadership and committee personnel to order and distribute parking passes and credentials, request supplies and operational equipment, and prepare or review correspondence to support efficient and successful committee operations.
- Coordinates committee budget planning, reporting and monitoring, and communicates budget status to committee leadership throughout the year.
- Supports the Senior Manager, Operations in coordinating security personnel for Showtime operations, including scheduling, payroll, security office coordination and support for related agencies.
- Provides administrative support for emergency planning efforts related to general Show operations and Show-related events, including tracking, collecting, and organizing annual Crisis Communication Plan and Committee Emergency Action Plan submissions.
- Tracks radios, keys, credentials, signage, protective equipment, first aid supplies, emergency equipment and other Security & Safety assets to support operational readiness.
- Processes invoices, purchase requests, expenditure tracking, procurement records and expense reconciliations in alignment with approved budgets and organizational procedures.
- Supports the Senior Manager, Operations with the annual credential process, including implementation, printing, distribution, tracking and related communications.
- Monitors department phones and shared inboxes; responds professionally to inquiries and routes security, safety and incident-related information appropriately.
Bachelor’s degree from a four-year college or university plus one to two years of related experience and/or training; or an equivalent combination of education and experience.

Other QualificationsRequires strong communication, customer service, organizational and technology skills. Must be project-oriented, self-directed and able to learn security, safety, incident reporting and scheduling systems in a fast-paced environment.
OtherSkills And Abilities
Requires working knowledge of Excel, Word, basic accounting principles and cash management. Must exercise discretion, sound judgment and confidentiality when handling security plans, incidents, employee records, guest information and operational matters. Experience with event security, safety operations, emergency preparedness, radio communications or incident management is preferred.
