Position SummaryThe Athletics Events Coordinator will assist in the planning and execution of events for the department, including fundraising events, marketing efforts and external event rentals. This position reports to the Assistant Director of Athletic Events and Rentals and supports the facilities, marketing and development teams in creating high‑impact, revenue‑generating events. The ideal candidate is detail oriented, has experience planning events ranging from banquets to golf tournaments and beyond, and has a passion for athletics.

This position is exclusively on‑site, necessitating all duties to be performed in person. Per Ricepolicy 440, work arrangements may be subject to change.
- Must be available to work nights, weekends, and holidays as event schedule requires
- Exempt (salaried) positions under FLSA are not eligible for overtime
- Bachelor’s degree
- One or more (1+) year of related experience
- Professional written and oral correspondence
- Familiarity with MS Office Suite
- Highly organized, good time management and sound judgment
- Good interpersonal and communication skills and ability to work effectively with a wide range of people in a diverse community
- Demonstrated professional and effective public relations skills
- Knowledge of Microsoft Office Suite
- Ability to multi‑task and work well in a team or individual setting
- Ability to work in a high‑pressure environment
- Adaptable and supportive of a changing work environment
- Creative and forward‑thinking
- Responsible for planning and execution of assigned athletic department events
- Oversee planning and marketing of the department’s annual fundraising events ranging from golf tournaments to banquets to reunions
- Maintain event schedules, coordinate the event planning, contracting, and approval process, and administer facility and event management policies for internal events
- Supervise and/or assign event staff working events to ensure proper management of events
- Support the facilities and operations team in the management of external event rentals and athletic events
- Ensure relevant facilities are in peak condition prior to hosting events
- Collaborate with internal administrative units and sport program staff to execute high‑impact events
- Work with the marketing team to execute fan engagement efforts surrounding athletic competitions, including oversight of Tailgate Owelery at home football games
- Reconcile financials of events to ensure vendors are paid and payments due rice are collected in a timely manner, collaborate with the business office to manage expense budgets for each event
- Other duties as assigned
