A leading industrial services organization is seeking a Service Coordinator supporting business customers through order management, service coordination, and customer communications. The Service Coordinator will support business customers by managing orders, coordinating service documentation, and ensuring timely communication throughout the order lifecycle. This is a collaborative, fast-paced position focused on business-to-business customer support, not a call center environment.
Responsibilities- Manage material orders for service jobs and coordinate with Purchasing to confirm product availability.
- Enter sales orders, process invoices, and maintain accurate order information within ERP systems.
- Create, review, and maintain work orders and supporting documentation, including emergency service requests.
- Prepare customer quotes and process domestic and international parts orders while supporting export compliance requirements.
- Respond to customer inquiries by phone and email regarding orders, products, and service requests.
- Monitor shared email inboxes and provide timely follow-up to customers and internal teams.
- Coordinate with Sales, Operations, Purchasing, and other departments to ensure accurate and timely order fulfillment.
- Maintain tracking logs, documentation, and administrative records to support daily operations.
- Participate in cross-training to support additional customer service and order management functions.
- Three or more years of customer service experience in a business-to-business (B2B) environment.
- Experience entering sales orders and processing invoices within an ERP system.
- Previous experience supporting customers in the oil & gas, petrochemical, or industrial sectors is preferred.
- Strong ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills with a professional, customer-focused approach.
- Strong organizational skills and exceptional attention to detail.
- Proficiency with Microsoft Outlook and Excel.
- Experience with Sage, Salesforce, Salesforce Field Service, SAP, or similar business systems is preferred.
- Experience managing documentation for service jobs is preferred.
- Familiarity with export compliance is a plus.
- Typing speed of 60 words per minute or higher is required.
