We are a well-established dental practice in Houston with hundreds of 5-star patient reviews, and we do dentistry differently. We look at the whole person, not just the tooth. That means paying attention to overall health, choosing materials carefully, and preparing patients well before treatment so it lasts. We take the time to educate every patient, so they understand their options and make their own decisions.
We never pressure patients, and we'll recommend doing less when less is the right answer.
We run a modern, digital office. Our team is small and close-knit. Patients are known by name, and the doctor who explains the plan is the one who does the work.
We're looking for an Office Manager who believes in this kind of care and wants to build the business side of a practice that puts patients' health first.
THE ROLE:
A hands-on leadership position.
This is a hands-on leadership position, not an entry-level role. You'll work directly with the practice owner as his right hand, with real authority to run the office day to day. You'll also be an active part of the front office, working alongside the team with patients, phones and scheduling. Our early schedule usually leaves your afternoons open for school pickup, errands and life outside work, though some days may run later when the office needs it.
WHAT YOU'LL DO:
- Lead the team. Hire, train and develop our team members. Set clear expectations, hold people accountable, and build a positive, dependable culture.
- Work the front office. Greet and check in patients, answer phones, schedule appointments and handle payments alongside the team, especially during busy times.
- Run morning huddles. Review the schedule, open time and patient needs so each day runs smoothly.
- Keep the schedule full. Fill openings, reduce no-shows and cancellations, and follow up on unscheduled treatment and overdue hygiene patients.
- Own insurance and collections. We are a fee-for-service practice that also accepts most PPO plans. You'll verify benefits, explain coverage and EOBs clearly, oversee claims and manage accounts receivable. This is a shared responsibility with the team.
- Guide financial conversations. Review costs and payment options for treatment the doctor recommends, helping patients make informed decisions without pressure.
- Manage the business. Track production, collections, case acceptance and new patients, review monthly results, and bring ideas for growth.
- Protect the patient experience. Handle concerns with patience and care. Many of our patients come to us after disappointing experiences elsewhere, and every one should leave feeling heard.
YOUR FIRST 90 DAYS:
- Audit accounts receivable and build a plan to resolve aging balances.
- Work the unscheduled-treatment list and bring patients back into care.
- Get the hygiene schedule to 90%+ booked.
WHAT WE'RE LOOKING FOR:
- 3+ years of dental office management experience, including supervising staff.
- Strong PPO insurance knowledge: benefits verification, claims, EOBs and AR follow-up.
- A proven track record of meeting schedule and collection goals.
- Experience hiring, coaching and leading a team.
- Experience with dental practice management software such as Oryx, Dentrix, Eaglesoft, Open Dental or similar.
- Comfort discussing treatment costs with patients clearly and honestly.
- Genuine interest in whole-person health and patient education.
- Organized, data-driven and a warm communicator.
- Comfortable leading the team while also working the front desk.
