Job Summary:Under general supervision, the CRM Administrator is responsible for managing optimizing the university’s Customer Relationship Management system to support the strategic and operational goals of the Division of Enrollment Management by analyzing, maintaining, and optimizing admissions systems, processes, and data. This role is responsible for ensuring accurate reporting, process improvement, and effective use of technology to enhance, reporting, admissions, and enrollment functions.
The CRM Administrator serves as a key liaison between admissions, enrollment services, marketing, information technology, and other campus stakeholders.

Summary:
- Configure, maintain and troubleshoot the CRM system to ensure optimal performance.
- Manage user roles, permissions and data integrity within the CRM.
- Oversee data imports, exports and cleansing to maintain accurate records.
- Monitor Key Performance Indicators (KPIs) related to admissions.
- Design and maintain automated communication workflow for prospective students.
- Ensure timely and personalized outreach through email, SMS and other channels.
- Manage and maintain admissions and enrollment-related systems (e.g., CRM, SIS, document management tools).
- Ensure data integrity, accuracy, and security across systems.
- Ensure compliance with FERPA and other data privacy regulations.
- Develop and monitor workflows, automated communications, and system configurations to support admissions operations.
- Partner with OIT to implement system updates, patches, and integrations.
- Generate, analyze, and distribute admissions and enrollment reports for leadership and campus stakeholders.
- Track application, admit, and yield trends to inform recruitment and enrollment strategies.
- Provide predictive and comparative analysis to support decision‑making.
- Build and maintain dashboards for real‑time monitoring of enrollment metrics.
- Evaluate admissions and enrollment business processes and recommend improvements to enhance efficiency and effectiveness.
- Document procedures, best practices, and training materials for admissions staff.
- Support compliance with institutional state and federal reporting requirements.
- Serve as a bridge between admissions staff, OIT, and enrollment leadership to translate operational needs into technical solutions.
- Provide training and ongoing support to admissions and enrollment staff on system use and reporting tools.
- Collaborate with financial aid, registrar, and academic departments to ensure seamless student enrollment processes.
- Performs other job‑related duties as assigned.
