Registrar Glassell School of Art
This position is responsible for registration for both the Studio School and the Early College Program. These responsibilities include applying and monitoring all academic policies and procedures necessary for compliance with the Certificate Program and Continuing Education Program. Interacts with Academic and Administrative staff and students, relaying information with discretion and tact.
Registrar Responsibilities:
- Manages registration software configuration, settings, reporting and troubleshooting.
- Manages and maintains and processes all student academic records and files, including posting grades and credits, course history documentation, processing student status and program changes.
- Organizes, and manages all functions pertaining to registration activities, policies and procedures, including providing advance information to faculty, tracking class enrollment figures, and class cancellations.
- Serves as point of contact for students seeking information about the Glassell School of Art (enrollment requirements, registration procedures, faculty counseling periods, grading etc.) via e-mail, phone and in person. Provides exemplary customer service to students to resolve issues related to school policies, refunds, registrations and other matters.
- Ensures the accuracy of all support materials such as course templates, registration forms, room charts, etc.
- Responsible for the accurate and timely inputting of academic curriculum data into the computerized registration system. Calculates and reports enrollment statistics for department reports.
- Prepares academic materials each semester including the determination of the academic calendar in consultation with administrative and academic staff, as well as any necessary coordination with university partners. Confirms course listings and teaching assignments with the Dean.
- Provides initial billing and financial documentation for all student records, and assists the Associate Director in reconciling outstanding student bills. Processes check and cash payments and responsible for preparation of deposits and bi-weekly remittance reports to accounting.
- Works with IT and external providers to maintain the electronic database system used for student record/registration purposes.
- Responsibilities may include: localized induction and informal training of new academic staff particularly with regard to the usage of the computerized student record keeping system, participating in the administrative activities of the institution and other academic events.
- Maintain software entry for university partnerships, including enrollment verification, class offerings and data integrity.
Skills, Knowledge and Abilities:
- Strong computer skills (spreadsheets, database management, word processing).
- Strong organizational skills. Must be able to handle multiple projects and priorities.
- Must be an analytical systems thinker and detail oriented.
- Exceptional records management skills.
- Excellent interpersonal skills; ability to resolve conflicts with persuasive and engaging approach and communication style.
Education and Experience:
- Associates or B.A. degree in related field
- Three (3) or more years of administrative experience
- Previous experience working in an academic environment, in particular, previous experience working in a school setting or college registration capacity
- Bilingual (Spanish/English) is a plus, but not required
