Program Coordinator
UT MD Anderson is a premier academic cancer center dedicated to advancing cancer care, research, education, and prevention. The Graduate School of Biomedical Sciences (GSBS) supports graduate education and scientific discovery through innovative academic programs, collaborative research, and student development opportunities. The Program Coordinator plays a critical role in supporting two graduate programs within GSBS. The Program Coordinator provides high-level program administration, coordinates student and faculty engagement activities, and ensures effective program operations.
The Program Coordinator works closely with Program Directors, faculty, students, and administrative partners to support academic excellence and strengthen program communities throughout UT MD Anderson.
The ideal candidate will have experience coordinating academic, research, or educational programs, managing multiple priorities independently, organizing events, and supporting communications initiatives. A strong background in program administration, relationship management, and institutional policy compliance is preferred.
Responsibilities Program Administration Serve as the primary point of contact for faculty and students regarding program policies, procedures, activities, and engagement opportunities. Act as a liaison between the GSBS Dean's Office and assigned graduate programs. Advise Program Directors on administrative and operational aspects of program leadership. Assist Program Directors with planning and implementing changes related to academic policies. Support program assessment activities, including program reviews and evaluation initiatives.
Develop surveys to assess program activities, initiatives, and outcomes. Schedule faculty meetings, steering committee meetings, director-student meetings, and other standing committee meetings. Develop meeting agendas and record meeting minutes for program leadership and committees. Coordinate faculty membership application processes and related documentation. Develop, maintain, and update program desk manuals and contact information for faculty, students, and alumni. Budget & Program Operations Collaborate with Program Directors and Steering Committees to develop annual program budgets.
Partner with finance staff to monitor expenditures and manage budget activities. Ensure compliance with institutional policies and procedures related to financial operations. Provide administrative support for training grant activities and related program initiatives. Administer program awards and recognition activities. Exercise independent judgment to support effective program operations and decision-making. Identify opportunities to strengthen program communities and support implementation of solutions.
Program Events & Activities Initiate, organize, and coordinate program events and activities in collaboration with Program Directors, faculty, and students. Develop event and activity budgets and monitor related expenses. Arrange catering, room reservations, and event logistics. Secure off-site venues and coordinate annual retreat planning activities. Promote and publicize events to maximize participation and engagement. Partner with student organizing committees on event planning and execution.
Assess event effectiveness and implement improvements for future programs. Coordinate annual program retreats and related activities. Support research-focused activities including seminar series, journal clubs, symposiums, and rotation talks. Coordinate social, networking, career development, student government, recruitment, orientation, and GSBS-wide events. Program Communications Manage and maintain program website content and updates. Produce and distribute program brochures, newsletters, and other communication materials.
Create and distribute email communications to faculty and students. Manage publicity for program activities, meetings, awards, and accomplishments. Update and maintain program handbooks and related resources. Support participation in GSBS-wide communication initiatives. Gather and share stories highlighting faculty and student achievements. Promote program engagement through online and print communication channels.

Three years related experience, including program/project coordination experience. With Master's degree, one year experience. May substitute required education degree with additional years of equivalent experience on a one-to-one basis. Preferred:
Experience with graduate programs. Manage faculty and students. Experience with planned large events.
