Expeditor (Senior) / Material Coordinator

- Duration: 12 month contract (with possible extension and conversion)
The office-based Material Coordinator is responsible for managing all the activities necessary to enable effective end-to-end coordination of materials in support of US Projects - West. Reporting to the Manager of Material Coordination and Project Support, the candidate will work with Project Managers, Project Engineering, Project Controls, SC Contract Analysts, SC Buyers, SC Expediting & Logistics and other stakeholders to enable efficient and effective identification, requisitioning and coordination of materials required for Projects.
The core accountability of this role is to ensure that project materials are delivered on time and to the correct location to support project timelines.
- Incorporate material lead time estimates from SC and develop a schedule for placing material orders in time to meet the project schedule.
- Review technical drawings with a high level of attention to detail.
- Review bill of material (BOM) with Project Engineer to identify materials to be supplied by TC, its fabricators, or its construction contractor; typical milestones include 30%, 60%, and 90% design, and final review of IFCs to confirm all materials are captured in the material coordinator’s tracking sheet.
- Coordinate design deliverables from Project Engineering or ESP to SC for timely issuance of requests for quotations (RFQs) and subsequent awards according to the material matrix schedule.
- Work with materials management and warehouse team to identify available inventory and/or surplus materials.
- Create SAP purchase requisitions (and/or SAP reservations for materials in inventory) based on design bills of materials provided by Project Engineering.
- Create a request for a new Material Master if the existing SAP material catalogue does not provide appropriate alternatives.
- Monitor and assist with materials expediting of critical components.
- Work with project disciplines to update Material Status Report with quantities, timelines, and material whereabouts.
- Help locate documents and records, including material test records (MTRs) associated with project materials required for construction and commissioning activities.
- Resolve material discrepancies (e.g., quantities, quality, or supporting documentation) within each functional group.
- Work with expeditors to anticipate issues relating to materials (late deliveries, shortages, damages) and develop and execute recovery plans.
- Ensure supplier and fabricator deliveries are expedited on a predetermined schedule to meet required at site dates.
- Provide field-based construction team with relevant documentation.
- Instruct the warehouse to release and issue materials to the fabricator, or from the fabricator to the site laydown yard and ultimately to the construction contractor.
- Coordinate physical receipt of material at the warehouse, project sitelaydown yard, fabricator, and/or construction contractor.
- Enter goods receipts for all items in SAP (except those delivered to warehouses).
- Identify surplus materials to be transferred to inventory and/or investment recovery.
- 3 years related experience in a project environment within the oil & gas, pipeline, or power industries.
- Past material management (coordination, buying, logistics etc.) experience.
- General knowledge of material and equipment used in pipeline and facilities construction.
- Ability to manage multiple high-priority projects and competing priorities.
- Post-secondary education in a related field.
- Experience with in the oil & gas, pipeline, or power industries.
- Experience with piping materials, valves, and fittings.
- Ability to read engineered design drawings and bill of materials.
- Superior computer skills, particularly experience with relevant SAP system modules, including advanced training in the use of Microsoft Office Suite and highly proficient SAP user (requisitioning & receiving).
- Superior written and oral communication skills, project management skills, analytical and problem-solving skills.
