Our Houston based family office client is seeking a versatile and energetic Accountant and Executive Administrative Assistant to support their family office. This candidate will be responsible for managing activities and providing comprehensive accounting support within the family office. This role requires significant attention to detail, a solid understanding of financial principles, flexibility and reliability, and the ability to maintain confidentiality.
Our client has a beloved and longtime predecessor who will be retiring and changing her role. This position will replace her and will have a very flexible work schedule including a hybrid schedule. The family office is in central Houston and works with multiple generations of family members. An experienced and detail-oriented family office employee is strongly preferred.
- Maintain accurate and up-to-date financial records for the family office.
- Record financial transactions, including income, expenses, and investments.
- Collaborate with relevant stakeholders to develop and monitor budgets.
- Assist in preparing financial forecasts and projections.
- Generate regular financial reports for the family office.
- Prepare financial summaries for review.
- Ensure compliance with relevant tax regulations.
- Monitor cash flow and manage liquidity needs.
- Execute fund transfers and payments as required.
- Process and track expenses related to the family office and family members.
- Verify invoices and reconcile expenses.
- Conduct financial analysis to support decision-making.
- Communicate with financial institutions regarding decedent's accounts.
- Provide financial support to family members.
- Communicate financial information in a clear and understandable manner.
- Administrative duties for various homes and vehicles.
- Communicate with insurance companies to determine appropriate policies for the family and their properties, under supervision.
- Ensure insurance policies are renewed timely and pay premiums.
- Property management such as arranging occasional maintenance calls for plumbers, air conditioning, pest control, etc.
- Visit properties as needed.
- Coordinate with household staff.
- Regular visits to Houston locations to drop off or pick up items, generally central Houston.
- Receive and manage client mail.
- Coordinate travel and calendar management.
- Prepare appropriate written correspondence to clients by letter and email.
Qualifications:
- Bachelor’s degree, Preferably in Accounting or Finance
- 10+years accounting experience in bookkeeping for a CPA firm or a family office
- Strong knowledge of accounting principles, financial regulations, and proven financial skills
- Ability to maintain complete confidentiality and protect the family by keeping information confidential.
- Meticulous attention to detail.
- Able to work independently with little or no supervision.
- Able to effectively prioritize multiple tasks in a fast-paced environment.
- Must have excellent communication skills, both written and oral
