Overview

Position Summary:

The Finance Manager oversees the organization's financial operations, including accounting, budgeting, financial reporting, cash flow management, payroll entries oversight, audit coordination, and compliance. Working closely with the Chief Executive Officer and leadership team, the Finance Manager ensures the accuracy and integrity of financial records, supports strategic financial planning, maintains internal controls, and provides financial analysis to support informed decision-making. This position also supervises finance staff and serves as a key resource in maintaining the organization's fiscal health and sustainability.

Responsibilities

Essential Duties and Responsibilities:

Accounting

  • Must be in self-directed recovery and willing to share experience as appropriate, if applicable to position.
  • Effectively support client engagement and progress in recovery.
  • Stay in compliance with documentation standards and ethical guidelines.
  • Participate in ongoing training and supervision.
  • Maintain, develop and oversee the agency's financial management system, including internal controls, accounting policies and procedures, and revenue tracking to ensure compliance and financial integrity.
  • Prepare, review, and issue accurate and timely financial statements, budget proposals, balance sheet reconciliations, bank reconciliations, payroll postings, and other financial reports.
  • Prepare and manage the agency's annual budgeting, forecasting, cash flow management, and financial planning processes in collaboration with the Chief Executive Officer, program managers, Human Resources, and key stakeholders.
  • Analyze financial performance, identify budget variances and trends, and provide timely recommendations and reports to the Chief Executive Officer to support strategic decision-making.
  • Serve as the primary liaison for external auditors and manage all agency audits, including preparation of required financial schedules and reports such as SEFA, Form 1295, and 1099 filings in collaboration with the Grant Accountant.
  • Support the Chief Executive Officer in presenting financial statements, trends, and operational impacts to the Board Finance and Audit Committees.
  • Collaborate with the CEO and Development team on organizational financial strategy, fundraising, donation tracking and reconciliation, resource allocation, sustainability planning, and long-term fiscal initiatives.
  • Collaborate with agency payroll staff in processes and support the implementation, maintenance, and optimization of payroll and financial software systems.
  • Manage the agency's insurance portfolio, including policy renewals, certificates of insurance (COIs), premium allocations, risk management, and vendor negotiations.
  • Provide supervision, training, performance management, and operational oversight to the Grant Accountant, including backup coverage and payroll-related functions.

Contract Compliance
  • Provide clear communication of proper rules and regulations for grants, specifications, requirements and objectives across all departments of the organization and management.
  • Oversee that grants are implemented according to the financial needs of the organization.
  • Keep the relevant staff informed about upcoming deadlines, thereby ensuring smooth completion of work responsibilities.
  • Provide detailed reports to the funders and the board of directors with respect to the organization’s progress, as requested
  • Maintain paperwork and other related documents in connection with grant-funded programs.
  • Provide training for the new staff on grants management and reporting requirements.
Qualifications (Knowledge, Skills, and Abilities)
  • Bachelor's degree or higher in Accounting or Finance
  • Minimum 5 years accounting experience with a non-profit agency preferred
  • Non-profit experience preferred
  • Advanced accounting knowledge and experience required
  • Experience with Federal and State Contracts preferred
  • Experience with the Auditing Process
  • Knowledge of or aptitude for working with computerized accounting software
  • Proficient working knowledge of MS Excel, Word and Office
    365
  • Previous management experience, preferred
  • Valid driver’s license and reliable transportation may be required
  • Must be able to pass Background check
