Payroll Specialist
The Payroll Specialist will be responsible for accurately executing and processing all aspects of payroll and payroll compliance under the Payroll Supervisor, including union benefit check production and distribution compliance with numerous Collective Bargaining Agreements.
Responsibilities- Timely and accurate processing of high-volume payrolls according to established payroll schedule and in compliance with SOX procedures, utilizing timekeeping system files, spreadsheet uploads, and manual data entry for employee hours.
- Balance payroll and reconcile discrepancies in a tight time frame prior to service provider transmission.
- Process bonuses, special payments, and taxable cash and non‑cash fringe benefits.
- Timely research and resolve payroll inquiries from employees, HR, department managers, and other parties while maintaining top‑notch customer service.
- Maintain confidentiality of payroll information.
- Assist with calculating and processing manual checks as required.
- Manage union benefits email box by responding to inquiries in a timely manner.
- Interpret, apply, and maintain a database of all active unions, contract dates, H&W rates, and union payments; check numbers, amounts, and date payments distributed.
- Serve as a primary contact for union payroll questions in coordination with HR and unions.
- Act as primary liaison for union audits and union information requests.
- Ensure all union audits are tracked, timely, and accurate.
- Process union payments from initiation of payments, following up to ensure receipt of payment and distribution of union payments.
- Obtain renewed CBA and update rules in all systems.
- Run ad‑hoc reports for local unions.
- Understand and follow instructions given by supervisor/management.
- Other duties and special projects as assigned.
- At least 1–2 years of payroll experience.
- Union benefit experience preferred.
- Strong work ethic and team player mentality.
- Strong verbal and written customer service skills.
- Strong verbal and written interpersonal communication skills.
- High level of attention to detail.
- Ability to comfortably work in a fast‑paced environment with strict adherence to time‑sensitive deadlines.
- Organizational, multi‑tasking, and prioritizing skills.
- Strong Microsoft Office skills, including proficiency in Excel (lookups and pivots).
- Ability to work with minimal supervision.
