Easter Seals of Greater Houston is currently seeking an experienced Lead Intake Specialist who will play a key role in supporting the Veterans Program by managing client intake, case assignment, and service coordination. This role is primarily in-person, and requires strong administrative, communication, and leadership skills. The ideal candidate will have experience in case management, intake coordination, and data management within a clinical or healthcare setting.
The Lead Intake Specialist will also provide consultation for new clinical cases and assist in optimizing intake and scheduling procedures.
Veterans Lead Intake Specialist
Position Type: Regular full-time (40 hours per week), in-person, including some evening and weekend work.
Location: Houston, TX main office and satellite locations
Key responsibilities Leadership & Supervision- Provide guidance and training to intake staff to ensure consistency and efficiency in processes.
- Oversee intake operations and ensure team compliance with program policies and procedures.
- Develop and refine intake protocols to improve service delivery and client experience.
- Supervise the intake process, ensuring accurate collection of client documentation and eligibility verification.
- Ensure timely connection of eligible participants to requested services and programming.
- Ensure compliance with program policies and procedures, ensuring all documentation is accurate and up to date.
- Support the team in the preparation of materials, reports, and presentations for internal and external stakeholders.
- Monitor intake volume, waitlists, and appointment schedules, identifying trends and areas for improvement.
- Ensure accurate tracking and reporting of appointment data for program analysis.
- Work closely with leadership to optimize operational efficiency.
- Onboarding of clients into the Electronic Health Records (EHR) system.
- Ensure intake staff respond to client inquiries in a timely and professional manner.
- Address client inquiries regarding appointment scheduling and resolve issues as needed.
- Oversee case assignment, ensuring balanced workloads among clinical professionals.
- Serve as a key liaison between intake staff, program managers, and clinical teams.
- Prepare and distribute performance reports, including performance metrics, client feedback, and case progress.
- Contribute to the development of intake protocols and best practices.
- Bachelor's degree in a relevant clinical field (Psychology, Social Work, or related discipline).
- At least three years of administrative support or case management experience in a clinical or healthcare setting.
- Experience in a leadership or supervisory role is strongly preferred.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to manage multiple tasks with attention to detail and deadlines.
- Discretion in handling sensitive client and clinical information.
- Experience with case management and appointment scheduling systems is a plus.
- Experience with Electronic Health Records (EHR) systems is preferred.
- Bilingual skills are a plus.
