The Certified Medical Assistant (CMA) plays a critical role in supporting providers and delivering compassionate, trauma-informed care to patients undergoing fertility evaluation, assisted reproductive treatment, and endometriosis management. This position requires strong clinical skills, attention to detail, emotional sensitivity, and the ability to work efficiently in a fast-paced specialty practice.
The CMA will assist with patient intake, diagnostic testing, procedural support, medication education, and coordination of care while maintaining the highest standards of patient confidentiality and professionalism.
Essential Duties and Responsibilities – Clinical Support- Prepare examination and procedure rooms for fertility consultations, ultrasounds, and minor procedures.
- Room patients and obtain comprehensive vital signs and medical history updates.
- Assist providers during pelvic exams, transvaginal ultrasounds, endometrial biopsies, hysteroscopies, IUI procedures, and other in-office procedures.
- Administer injections as permitted (e.g., IM progesterone, trigger shots) under provider direction.
- Perform phlebotomy for hormone panels, beta hCG levels, AMH testing, and other fertility-related labs.
- Process and properly label specimens in compliance with laboratory standards.
- Monitor and document patient responses during and after procedures.
- Provide detailed instruction on injectable fertility medications and hormone protocols.
- Educate patients regarding cycle monitoring appointments and procedural preparation.
- Offer supportive, empathetic communication to patients experiencing infertility, pregnancy loss, or chronic pelvic pain.
- Reinforce provider treatment plans and answer routine clinical questions.
- Document all patient interactions accurately in the Electronic Medical Record (EMR).
- Coordinate lab work, imaging, and referrals.
- Communicate test results under provider supervision.
- Assist in prior authorizations for fertility medications and procedures.
- Maintain inventory of clinical supplies and medications.
- Maintain strict adherence to HIPAA regulations.
- Follow infection control and sterilization protocols.
- Ensure proper handling of biohazard materials.
- Participate in quality improvement initiatives and continuing education.
- Current Certified Medical Assistant (CMA) credential from an accredited program.
- Active Basic Life Support (BLS) certification.
- Minimum of 1 year of clinical experience (OB/GYN or reproductive health preferred).
- Strong phlebotomy skills.
- Proficiency in EMR systems.
- Excellent interpersonal and communication skills.
- Experience in fertility, reproductive endocrinology, or OB/GYN settings.
- Experience with medication prior authorizations.
- Knowledge of fertility medications (e.g., gonadotropins, progesterone, GnRH agonists/antagonists).
- Familiarity with endometriosis symptom management and chronic pain patients.
