Overview

The US Oncology Network is looking for a Scheduler to join our team at Texas Oncology
. This full-time role will primarily support our Willowbrook location in Houston, TX. It is a level I, II, or Senior position based on candidate experience. The United States Oncology Network delivers high-quality, evidence-based care to patients close to home and is supported by McKesson Corporation.

What is the Long-Term Incentive Plan (LTIP)?

Long-Term Incentive Plan (LTIP) typically vests over three years and is tied to individual performance and operational success. Awards are discretionary and depend on position, performance, and potential for future growth. LTIP awards are subject to continued employment and governed by the LTIP terms.

What does the Scheduler do?

Under direct supervision, the Scheduler is responsible for scheduling patient appointments and tests in an efficient and timely manner. Duties include answering incoming calls, directing callers to appropriate personnel, serving as a liaison between patients and medical staff, and possibly handling outside scheduling and surgical scheduling. The role supports adherence to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities
  • Answer all incoming calls; assess caller needs and direct to appropriate personnel, paging clinic staff as needed.
  • Obtain and communicate messages accurately and promptly.
  • Schedule new patients, referrals, and returning patients in the computer system per physician/office guidelines; set up new patient records with appropriate documentation and coding.
  • Cancel/reschedule appointments according to physician schedule changes and notify clinic personnel.
  • Obtain and enter all insurance authorization and referral-related correspondence in patients’ charts/EMR.
  • Collect co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
  • Maintain primary office scheduling template including physician meetings, satellite schedule, rounding, and call coverage.
  • Arrange for financial counseling as needed.
  • Protect patient confidentiality and follow policies to contribute to front-office efficiency; cover other front-office functions as requested.
  • Prepare correspondence, memos, forms, and other typing as requested by supervisor.
  • Schedule outpatient appointments/tests/surgeries and hospital admissions when requested; obtain necessary pre-certification as required.
  • Communicate with patients about surgeries or tests being scheduled and prep work needed; gather patient information as needed.
  • Follow up on pre-operative tests to ensure clearance for surgery and coordinate with physicians/patients if further testing is required.
  • Schedule post-operative follow-up appointments with physicians as applicable.
  • Demonstrate basic understanding of medical terminology for tests and procedures, including coding, and look up codes related to diagnosis, surgery, and scheduling.
  • QualificationsLevel I
    • High school diploma or equivalent required.
    • 0-3 years’ medical office experience preferred.
    • Knowledge of medical terminology and coding a plus.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office (Outlook, Word, Excel) required.
    Level II
    • Minimum three (3) years office experience, preferably in a medical office setting.
    Level Senior
    • Minimum five (5) years office experience, preferably in a medical office setting.
    • Knowledge of medical terminology and coding required.

    Physical Demands
