The Medical Secretary is responsible for providing administrative and clerical support to ensure efficient operation of the clinic. This role involves managing patient communications, scheduling appointments, maintaining medical records, and supporting healthcare providers with day-to-day administrative tasks while delivering excellent patient service.

Key Responsibilities
  • Greet patients and visitors in a professional and friendly manner
  • Answer phone calls, respond to inquiries, and direct calls appropriately
  • Schedule, confirm, and manage patient appointments
  • Maintain and update patient records in the electronic medical record (EMR) system
  • Verify patient insurance and assist with basic billing inquiries
  • Handle incoming and outgoing correspondence (emails, faxes, mail)
  • Assist with patient check-in and check-out processes
  • Ensure patient confidentiality in compliance with HIPAA regulations
  • Prepare and organize documents for providers (charts, forms, referrals)
  • Coordinate referrals, lab requests, and follow-ups
  • Maintain a clean and organized front office area
Qualifications
  • High school diploma or equivalent (Associate’s degree preferred)
  • Previous experience in a medical office or administrative role preferred
  • Knowledge of medical terminology and office procedures
  • Familiarity with EMR systems and scheduling software
  • Strong communication and interpersonal skills
  • Excellent organizational and multitasking abilities
  • Basic computer skills (Microsoft Office, email systems)
