The Sorter is responsible for accurately processing incoming fax and email orders, creating and maintaining patient charts, entering patient information, and coordinating appointments. This position plays an important role in ensuring patient orders are processed efficiently, accurately, and according to company procedures. The Sorter will also learn to communicate with patients by phone and assist with scheduling appointments.
Essential Duties and Responsibilities- Sort and process incoming fax documents and imaging orders in a timely and accurate manner.
- Review incoming documentation for completeness and identify the appropriate processing workflow.
- Create new patient charts and ensure all required patient information is accurately entered into the appropriate systems.
- Enter and verify patient demographic, insurance, clinical, and order information with a high level of accuracy.
- Create and update patient appointments as required.
- Process incoming email orders for the assigned region, following the same established workflow used for faxed orders.
- Review email orders and supporting documentation to ensure information is complete and properly matched to the correct patient.
- Maintain organized and accurate electronic patient records.
- Follow established procedures for handling patient information and protect patient confidentiality at all times.
- Communicate with internal teams regarding missing, incomplete, or unclear information needed to process an order.
- Learn and perform patient scheduling by telephone, including communicating professionally with patients and coordinating appointment times.
- Provide courteous and professional customer service to patients, referring offices, and internal staff.
- Meet established productivity, accuracy, and turnaround-time expectations.
- Perform other duties related to imaging order processing and patient coordination as assigned.
- High school diploma or equivalent preferred.
- Previous healthcare, medical office, imaging, data entry, or customer service experience is preferred.
- Strong attention to detail and a high degree of accuracy.
- Ability to organize and prioritize multiple incoming orders and requests.
- Comfortable working with computers, email, fax systems, and electronic medical or scheduling systems.
- Strong verbal and written communication skills.
- Professional and courteous telephone manner.
- Ability to learn new systems, processes, and procedures quickly.
- Ability to work independently while also functioning effectively as part of a team.
- Ability to maintain confidentiality when handling sensitive patient information.
The successful candidate will demonstrate accuracy, reliability, efficiency, attention to detail, professionalism, and excellent customer service while ensuring imaging orders move through the process correctly and efficiently.
