Position: Clinical Research Administrator in Sponsored Projects

Clinical Research Administrator

We are looking for a Clinical Research Administrator who will be responsible for coordinating budget review and approval, preparing coverage analysis, creating Epic studies, reviewing patient billing, and monitoring/auditing clinical trials and other clinical research studies conducted by university faculty. These employees develop and administer procedures that comply with applicable regulations governing the conduct of clinical research. This requires knowledge of how a research study works and how to set up the correct billing variants, including patient charges, insurance claims, and costs passed off to the research project's budget.

UTHealth is preparing to transition to Epic's electronic health record software, so any experience with Epic will be a plus for candidates. The clinical research administrators will help load studies into this new program and ensure it all works as intended, as outlined by study protocols and billing requirements. They will also perform periodic audits of these processes and train clinical staff on how to correctly enter charges or research procedures.

This is a full-time, exempt role. You will be eligible for all UTHealth benefits, including healthcare coverage and participation in a pension plan run by the State of Texas. Your office will be in the heart of the Texas Medical Center in our University Center Tower, located at Fannin and Pressler. This building is located on both Metro's bus and rail lines and offers many parking and commuting options.

The role will work a hybrid schedule, and does require some time in the office.

Position

Key Accountabilities:

  • Assesses the administrative and contractual requirements of the clinical research
  • Ensures proper identification of billing responsibilities through completion of billing risk assessments and review and approval of coverage analyses.
  • Assesses the administrative and contractual requirements of the funded research to negotiate proper terms and conditions based on the scope of work.
  • Reviews and analyzes documentation related to the management of clinical research, including confidentiality disclosure agreements, contracts, sponsor budgets, coverage analysis, financial reports, and clinical research billing.
  • Negotiates and prepares complex clinical research project contracts and clinical research coverage analysis.
  • Reviews budgets and related documents for clinical research projects to ensure compliance with sponsor, State, UT System, and institutional requirements.
  • Acts on behalf of the university and serves as liaison between the faculty and sponsors during contract negotiation, and by providing justification, documentation, and policy/guideline interpretation to stakeholders.
  • Interacts with and builds good working relationships with all parties involved in the management of clinical research.
