- Manages the assigned payrolls for a multistate, multicompany environment with multiple types of deductions and additions such as bonuses, commissions, benefits, disability pay, liens, and overtime.
- Reviews the computation of hours, pay, and associated deductions for accuracy. Verifies completion of checklists and exceptions before approving payroll.
- May communicate frequently with managers to ensure timely and correct hours recording and approval.
- Champions clean and consistent electronic sharing of practices, policies, and procedures for all aspects of payroll, benefits administration and auditing, HR operations, regularly scheduled calendar items, checklists, and any other aspects of the work currently owned by the Director of HR Operations.
- Maintains the confidentiality and integrity of all payroll and employment records.
- May manage records retention, indexing, and purging. May manage a part‑time employee charged with the naming and organization of personnel records. Communicates cross‑functionally and trains appropriate users as needed on new tools and procedures.
- Assists with timekeeping efficiency and dependability, be it an offline time clock or a new process or platform for keeping time.
- Maintains up‑to‑date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions.
- Proactively communicates with, develops positive relationships with, and answers employees’ questions regarding payroll policies and how the policies affect pay or benefits.
- Coordinates workflows with other payroll team members, HR team members, and cross‑functionally. Acts as backup when needed.
- May prepare reports on employee pay, commissions, and bonuses; vacation, sick, disability, and workers’ compensation leave; taxes, withholding, etc.
- Responds to employees’ requests for information and documentation, including VOE and similar requests, in a timely and accurate manner.
- Works proactively and thoughtfully to avoid payroll mistakes. Ensures any payroll issues are escalated and resolved promptly, and communicates with impacted employees immediately until resolved. Records and resolves exceptions that may lead to errors.
- Audits, reconciles, and approves vendor‑ and benefits‑related invoices in a timely and accurate manner. Works with HRIS manager on any annual adjustments to deductions, etc, during open enrollment.
- Works collaboratively with internal customers and external vendors to improve processes for efficiency, quality, and a positive employee experience.
- Develops checklists, procedures, cadences, calendars, and similar job aids to assist both team members and company employees in understanding or evolving the payroll process.
- Audits vendor invoices and benefits reports before payment.
- Manages the scanning and indexing of all designated paper documents into an imaging system.
- Performs other departmental tasks as assigned or as the need arises, ranging from stuffing envelopes or taking mail to running and analyzing reports to participating on project teams.
- Confidentiality, consistency, and deep professionalism is a must, inside and outside the team.
- Deep curiosity, project management skills, conflict resolution skills, and a desire to grow with the company are required.
- At least five years of multi‑state payroll experience. Ultipro or UKG strongly preferred.
- Dependability, timeliness, and willingness and ability to work standard hours. Four days in‑office at 4800 San Felipe, Houston office. Five days a week is strongly preferred. If working from home, effectiveness must not be impaired in any way by that circumstance.
- Advanced knowledge of computer applications such as MS Word, MS Excel, and Outlook.
- A college degree is not required, though at least some college in accounting or finance is preferred.
- Ability to research, understand, perform, and explain various complex payroll calculations.
