Position SummaryThe Recruiting Coordinator provides administrative and operational support to the Talent Acquisition team. This position serves as a key liaison between candidates, recruiters, and hiring managers, ensuring a seamless recruitment process from scheduling through onboarding. The ideal candidate is organized, detail oriented, professional, and able to manage confidential information.
Essential Duties & Responsibilities- Coordinate end-to-end interview scheduling across multiple stakeholders, time zones, and interview formats, including phone, virtual, and onsite interviews.
- Serve as a primary point of contact for candidates, providing timely communication throughout the hiring process.
- Post job openings on internal and external job boards and maintain job requisitions within the Applicant Tracking System.
- Maintain accurate candidate and requisition records within the ATS.
- Coordinate background checks, drug screenings, reference checks, and other pre-employment activities.
- Prepare interview schedules, candidate packets, and interview guides for hiring teams.
- Coordinate candidate travel arrangements and expense reimbursement when applicable.
- Support onboarding activities by coordinating new hire documentation with HR, IT, and Payroll.
- Generate recruiting reports and assist with recruiting metrics, audits, and compliance documentation.
- Support career fairs, recruiting events, and university recruiting initiatives.
- Represent the organization professionally during recruiting activities.
- Maintain confidentiality while handling sensitive employee and candidate information.
- Provide general administrative support to the Human Resources team as needed.
- Perform other duties as assigned.
Required:
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience.
- 1 to 3 years of recruiting coordination, HR, or administrative support experience.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong organizational skills with excellent attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred:
- Experience with an Applicant Tracking System, Success Factors or another ATS.
- Experience supporting multi-location or enterprise recruiting teams.
- Experience with payroll or timekeeping systems.
- Bilingual skills are a plus.
- HR certification such as SHRM-CP or PHR is a plus.
This position primarily involves desk-based work, including frequent computer use, sitting, speaking, and listening. Occasional standing, walking, and lifting of up to 10 pounds may be required.
