The HR & Payroll Administrator is responsible for supporting the organization’s human resources functions while ensuring the accurate and timely processing of payroll. This role manages employee records, with onboarding and offboarding, administers employee benefits, maintains HR compliance, and processes payroll in accordance with company policies and applicable labor laws. The ideal candidate is highly organized, detail-oriented, multi-tasker and able to maintain confidentiality while providing exceptional support to employees and management.
Key Responsibilities Human Resources Administration- Maintain accurate and confidential employee personnel files and HR records.
- Facilitate employee onboarding and offboarding processes.
- Maintain employee attendance, leave, and timekeeping records.
- Administer employee benefits, enrollments, and changes.
- Respond to employee inquiries regarding HR policies, benefits, and procedures.
- Assist in performance management and employee development initiatives.
- Ensure compliance with federal, state, and local employment laws and company policies.
- Support HR reporting, audits, invoices, collections and recordkeeping requirements.
- Process semi-monthly payroll accurately and on schedule.
- Verify employee timesheets, overtime, leave balances, and payroll adjustments.
- Calculate wages, deductions, bonuses, commissions, and reimbursements.
- Maintain payroll records and ensure confidentiality of payroll information.
- Process new hires, employee status changes, and terminations in the payroll system.
- Ensure payroll tax deductions and statutory with holdings are processed accurately.
- Prepare payroll reports for management and accounting.
- Resolve payroll discrepancies and respond to employee payroll inquiries.
- Coordinate with finance and accounting to reconcile payroll-related accounts.
- Ensure compliance with payroll regulations and reporting requirements.
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, Accounting, or a related field preferred.
- 2-5 years of experience in HR administration and payroll processing.
- Knowledge of HR practices, employment laws, and payroll regulations.
- Experience with HRIS and payroll software.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy.
- Payroll certification (FPC or CPP) is an asset.
- Experience with benefits administration and compliance reporting.
