SUMMARY:

We are seeking a detail-oriented and service-driven HR Coordinator to support onboarding, compliance, and core HR administrative operations. This role plays a critical part in creating a positive first impression of our organization by ensuring pre-employment requirements, onboarding tasks, documentation, and system access are completed accurately and on time.

The HR Coordinator serves as a primary point of contact between candidates, hiring managers, HR, IT, and leadership. In addition to overseeing onboarding activities, this position provides administrative support across multiple HR functions and works closely with HR Business Partners to ensure documentation, recordkeeping, and regulatory processes are handled accurately and consistently. Key Responsibilities:

Onboarding & Pre-Employment Administration
  • Serve as the primary HR point of contact for candidates once an offer is accepted.
  • Coordinate and monitor pre-employment screenings, including background checks, drug screens, and licensure or certification verification. Review screening results for discrepancies and elevate items requiring further evaluation.
  • Coordinate required pre-adverse and adverse action processes, when applicable, in partnership with HR Business Partners and in accordance with established procedures. Launch onboarding through the HRIS and monitor completion of all assigned tasks.
  • Collect and review new hire documentation for completeness and accuracy.
  • Complete Form I-9 verification in accordance with federal requirements. Coordinate system access and communicate onboarding details with hiring managers, IT, and other relevant departments. Proactively communicate delays, discrepancies, or outstanding items to the appropriate parties.
  • Create, organize, and maintain electronic personnel files, ensuring required onboarding documentation is complete, accurate, and properly stored.
HR Administrative & Compliance Support
  • Maintain employee records in accordance with company record retention policies and applicable requirements.
  • Conduct routine personnel file, credential, and licensure audits. Monitor outstanding documentation and follow up with employees and managers as needed.

Support the HR team by gathering and organizing documentation and information related to employee matters, while maintaining confidentiality. Knowledge of pre-adverse and adverse action procedures, FMLA, and ADA is a plus.

Front Office & Operational Support

Serve as a professional and welcoming first point of contact for visitors and employees. Manage incoming calls and route HR or administrative inquiries to the appropriate team member. Assist with general office coordination, clerical responsibilities, and other administrative needs.

EDUCATION AND EXPERIENCE:
  • High school diploma or equivalent
  • At least two years of relevant administrative, onboarding, or Human Resources experience required. Experience in healthcare or a regulated work environment is a plus!
