Overview

LOCATION: Any Spencer Fane Office (hybrid work environment with two days in office)

REPORTS TO: Accounting Integrations & Financial Operations Manager

POSITION SUMMARY

The Aderant Training Specialist develops and delivers training programs for legal and administrative staff on the Aderant software platform. The role supports onboarding for newly merged firms, new-hire training, and quarterly firmwide training initiatives, requiring expert-level knowledge of Aderant, law-firm billing, and operational workflows, as well as the ability to translate complex technical processes into clear, accessible instructional materials

Compensation: At Spencer Fane, we carefully consider a wide range of factors when determining compensation, including but not limited to location, skillset, experience, training, licenses, certifications and other business or organizational needs. Compensation will be determined based on the above factors along with the requirements of the position. We expect the starting hourly rate to be between $35.21 and $44.14.

Primary Responsibilities
  • Design, develop, and deliver training programs for lawyers, paralegals, administrative staff, and new hires.
  • Create and maintain training materials, including manuals, guides, checklists, job aids, and online learning modules covering Aderant functions such as billing, Spotlight, and EAPro.
  • Integrate Aderant Academy and other vendor resources to enhance course content.
  • Conduct virtual, in-person, hands-on, and self-paced training sessions.
  • Support onboarding for newly acquired firms through education on Aderant usage and best practices.
  • Provide training and support during system upgrades, workflow changes, new feature releases, and technology integrations.
  • Collaborate with Billing, Trust, Accounts Payable, and Accounts Receivable teams to align training with operational workflows.
  • Maintain training schedules across multiple offices and time zones.
  • Participate in quarterly firmwide training initiatives.
  • Monitor Aderant updates and industry best practices to continuously refine training content.
  • This role supports multiple firm offices and may require occasional travel to provide onsite training, assist with system rollouts, and collaborate with operational teams.
Qualifications
  • Education: Bachelor’s degree in Education preferred; equivalent law firm experience may be considered in lieu of degree. Aderant Academy coursework or certifications are a plus.
Experience, Skills & Competencies
  • Experience: 4+ years of experience in a law firm environment with hands-on Aderant Expert (time entry, billing, workflows, AR), including developing and delivering training, onboarding materials, system documentation, and supporting users across legal and administrative functions. Experience training users on financial or practice-management systems, with familiarity in adult learning principles and instructional design.
  • Technical Expertise: Advanced knowledge of Aderant Expert modules (billing, Spotlight, EAPro, workflows, AR), with the ability to translate operational and accounting processes into accurate system usage and user-friendly training materials. Skilled in system testing, data review, identifying discrepancies, and producing clear documentation for technical and non-technical users. Aderant Academy coursework or certifications are preferred.
  • Organizational & Project Management: Demonstrated ability to coordinate and deliver training across multiple offices and time zones, while managing concurrent onboarding activities, quarterly training cycles, and system rollout schedules.
  • Problem-Solving & Initiative: Strong analytical skills applied to interpreting billing and accounting workflows, troubleshooting user issues, and adapting training or documentation to meet evolving business needs.

    Collaboration:

    Clear, professional communicator with the ability to present, run demos, and support new users. Collaborates effectively with Billing, Trust, AP, AR, Finance, IT, and administrative teams, as well as newly acquired firms during onboarding.
  • Professionalism: Maintains the highest level of discretion when handling sensitive financial data, operational workflows, client information, and firm-specific processes.

Working Conditions
  • Primarily performed in an office environment with frequent interaction across multiple legal teams.
  • Work hours are generally standard business hours; however, occasional evenings or weekends may be required to meet deadlines or manage urgent docketing needs.
  • Fast-paced, collaborative environment requiring adaptability, attention to detail, and the ability to manage multiple priorities simultaneously.
  • This role may require regular travel for training, firm meetings, or support across office locations.
  • Regularly required to sit, stand, or walk for extended periods while performing administrative and docketing duties.
  • Ability to lift and carry up to 25 lbs as necessary for filing or document handling.
