Responsibilities
- Prepare, review, and process documentation (including customer classification, commercial invoices, etc.) ensuring files contain all necessary copies, are accurate, and are in proper sequence.
- Receive and track customer bookings/shipments; update clients on shipment status or delays, dispatch for delivery, collect proof of delivery (POD), cost and invoice all files.
- Bill and invoice each file to the respective customer, paying close attention to payment terms for the responsible party.
- Resolve and reconcile incorrect payables by working with vendors and overseas offices.
- Assist sales and department managers in compiling quotes.
- Provide accurate job costing forecasts, ensuring all payables, receivables and accruals are set and properly managed per company rules and guidelines.
- Dispatch freight for delivery and maintain communication with truckers throughout delivery.
- Recognize any changes in customer shipping trends and report to management.
- Be cross‑trained and act as a backup for any member of the team when necessary.
- Report on customer performance and identify any changes in support.
- Promote compliance across the department or section.
- Work through problems, recognizing issues that may need to be communicated or escalated to management.
- Ensure all timely correspondence to customers.
- Perform other duties as requested.
- Minimum 3 years’ experience handling imports (air and/or ocean) or a combination of education and experience.
- Experience and knowledge regarding imports, compliance, rules and regulations.
- Excellent organizational and communication skills.
- Flexibility and strong computer skills, including Microsoft Office suite.
- Detail‑oriented, able to multitask and meet deadlines.
- Ability to work independently and as part of a team.
- Knowledge of U.S. customs laws, practices, and procedures.
- Knowledge of Importer Security Filing (ISF) preferred.
- Good working knowledge of Incoterms required.
- High school diploma or GED required.
- Experience with Cargo Wise (C1) preferred.
Position performed in a climate‑controlled internal office environment under normal office conditions. Requires sitting, standing, walking, using hands and fingers, reaching, talking, hearing, stooping, kneeling, and crouching. May lift up to 25 pounds.
