Position Summary

We are seeking an experienced Import/Export Documentation Coordinator to manage export documentation, shipment coordination, project documentation, and vendor compliance for international steel supply projects.

The ideal candidate should have hands-on experience with international shipping documentation and be able to independently coordinate documentation with suppliers, freight forwarders, customs brokers, and customers.

Key Responsibilities Import / Export Coordination
  • Prepare Commercial Invoices.
  • Prepare Packing Lists.
  • Coordinate Bills of Lading.
  • Coordinate with freight forwarders and customs brokers.
  • Track shipment status and delivery schedules.
Logistics Coordination
  • Coordinate shipments with freight forwarders.
  • Coordinate with customs brokers.
  • Track international shipments.
Project Documentation
  • Organize purchase orders.
  • Collect MTCs, coating certificates, inspection reports and QC documentation.
  • Complete supplier onboarding packages.
  • Manage NDAs, W-9 forms, insurance certificates, and compliance documentation.
Administrative Support
  • Maintain company files and records.
  • Coordinate meetings and office operations.
  • Support marketing materials and customer databases.
Qualifications Required
  • 2+ years of experience in import/export documentation, international shipping, logistics coordination, or export operations.
  • Hands-on experience preparing:
    Commercial Invoices, Packing Lists, Bills of Lading, Export shipping documents
  • Experience coordinating with freight forwarders and customs brokers.
  • Experience working for a manufacturing, steel, industrial, engineering, or construction company.
  • Excellent organizational and communication skills.
  • Ability to manage multiple international shipments simultaneously.
Preferred
  • Experience supporting international steel, industrial equipment, construction materials, or manufacturing exports.
  • Experience with supplier quality documentation (MTC, inspection reports, coating certificates).
  • Knowledge of Incoterms, international shipping procedures, and export compliance.
