Expeditor I
The Expeditor I supports post-award material execution for Energy Link Transmission, Substation, and Distribution EPC projects by maintaining supplier follow-up and schedule visibility from purchase order acknowledgment through delivery and closeout. Expeditors are assigned to projects and Buyers but report through the Purchasing organization. This developing role works closely with suppliers, Buyers, engineering, quality, logistics, project management, construction, and field teams to keep material commitments visible, accurate, and aligned with project need dates.
What You'll Do
- Establish and maintain expediting records for assigned purchase orders, including supplier contacts, required-on-site dates, acknowledgment status, deliverables, key milestones, and current forecast dates.
- Obtain and track supplier purchase order acknowledgments and baseline schedules; identify missing information, schedule gaps, or commitments that do not align with project requirements.
- Perform routine supplier follow-up on engineering submittals, material availability, fabrication, testing, inspection readiness, shipment, and delivery milestones.
- Maintain accurate expected dates and supplier status in ERP, procurement, and project tracking systems; provide timely order status, delivery updates, schedule risks, and recovery information to assigned Buyers to support project communication.
- Support document expediting by tracking supplier drawings, data, quality documents, and other required submittals, and coordinating follow-up on internal reviews that affect supplier progress.
- Participate in routine supplier status calls, maintain action logs and meeting notes, and follow through on open commitments.
- Identify late or at-risk materials early and escalate schedule, quality, documentation, logistics, shortage, damage, or delivery concerns with clear supporting information.
- Coordinate shipment and delivery status with suppliers, logistics, material yards, and field contacts as required by established communication plans or Purchasing leadership; track Advanced Shipping Notices (ASNs), shipping documentation, Proof of Delivery (POD), receipt verification, shortages, damages, returns, and related follow-up.
- Support purchase order closeout, supplier performance reporting, document retention, and invoice or receiving research as requested by the Buyer or Purchasing leadership.
- Escalate pricing, commercial terms, scope, quantity, contractual issues, or purchase order changes to the assigned Buyer; the Expeditor does not independently authorize commercial commitments.
- Performs special projects and completes other duties as assigned or requested.
- Adheres to internal standards, policies, and procedures.
What You'll Bring
- High school diploma or equivalent;
Associate or bachelor's degree in supply chain management, business, logistics, construction management, engineering, or a related field preferred - 0-2 years of experience in expediting, material coordination, purchasing, logistics, planning, procurement, supply chain, construction support, or a related role.
- Basic understanding of purchase orders, supplier communication, material delivery, and order status tracking.
- Proficiency in Microsoft Office, particularly Excel, with the ability to learn ERP, procurement, and project management systems.
- Exposure to Transmission & Distribution (T&D), substation, electric utility, construction, or EPC projects preferred.
- Familiarity with Bills of Materials (BOMs), technical specifications, drawings, project schedules, or supplier documentation preferred.
- Experience with ERP, procurement, or project management systems such as Coupa, SAP, Oracle, JDE, or Procore preferred.
- Exposure to purchasing, sourcing, supplier negotiations, or competitive bidding is a plus.
- Strong organization, time management, and follow-through.
- High attention to detail and commitment to data accuracy.
- Clear, professional written and verbal communication skills.
- Persistent, customer-service-oriented approach to supplier follow-up and issue resolution.
- Ability to manage multiple orders and priorities in a fast-paced, project-driven environment.
