We are seeking a highly organized and detail-oriented Order Management Specialist to support the execution of complex customer orders and large project scopes. This role serves as a critical link between Sales, Operations, Suppliers, and Customers—ensuring that parts, timelines, and communications are aligned to deliver orders on time and in full.
This is not simply a transactional order entry role. The ideal candidate will take ownership of order flow, proactively manage supplier commitments, and drive accountability across internal and external stakeholders.
Responsibilities- Manage end-to-end lifecycle of customer orders, particularly large or complex project-based orders
- Track and coordinate parts availability, supplier commitments, and vendor delivery dates
- Proactively identify risks to on-time delivery and drive resolution plans
- Maintain and communicate accurate order status updates to internal teams and customers
- Partner cross-functionally with Sales, Operations, Purchasing, and Engineering
- Review and interpret technical drawings and specifications to support order accuracy and execution
- Support quoting process by validating lead times, material availability, and technical requirements
- Monitor and manage open order reports, ensuring data accuracy and timely follow-up
- Coordinate with vendors to ensure commitments are met and escalations are handled effectively
- Contribute to continuous improvement of order management processes and tracking systems
- 3+ years experience in order management, supply chain, project coordination, or inside sales
- Strong organizational skills with ability to manage multiple priorities and deadlines
- Excellent communication skills (written and verbal)
- Experience working cross-functionally in a matrixed environment
- Proficiency in ERP systems and Microsoft Excel
- Technical background or experience in industrial, manufacturing, or distribution environments
- Ability to read and interpret engineering drawings or technical specifications
- Experience with quoting, lead time analysis, and supplier coordination
- Familiarity with project-based order execution
