We are seeking a highly organized and proactive Nonprofit Operations, Events & Marketing Coordinator to support the day-to-day management of a nonprofit organization.
This role combines board meeting facilitation, event coordination, trade show management, registration administration, social media marketing, and on-site content creation. The ideal candidate is a dependable self-starter who can manage multiple deadlines, communicate professionally with board members, exhibitors, sponsors, and attendees, and ensure that meetings and events run smoothly.
The position will initially be part-time, with the opportunity to expand into a full-time role as the organization and scope of services grow.
Key Responsibilities Board and Organizational Support- Coordinate and facilitate recurring virtual board meetings.
- Help plan and support quarterly in-person meetings.
- Work with organizational leadership to prepare meeting agendas, presentations, supporting documents, and other board materials.
- Distribute meeting information, documents, and reminders to board members.
- Track action items, deadlines, decisions, and follow-up responsibilities.
- Maintain organized digital records of meeting materials and organizational documents.
- Communicate professionally with board members, volunteers, vendors, sponsors, exhibitors, and community partners.
- Help plan, promote, and execute four meetups or networking events throughout the year.
- Coordinate event timelines, venues, vendors, supplies, signage, and logistical requirements.
- Create and manage online registration pages and attendee lists.
- Monitor registrations and provide regular attendance updates.
- Prepare, print, organize, and distribute attendee badges.
- Manage event check-in and assist attendees on-site.
- Help ensure that each event remains organized, welcoming, and on schedule.
- Support post-event communication and follow-up activities.
Manage the planning, promotion, and execution of a one-day industry trade show featuring approximately 40 exhibitors and 200 attendees

- Develop and manage the overall trade show project plan, budget, timeline, and task schedule.
- Coordinate with organizational leadership, board members, the venue, exhibitors, sponsors, speakers, vendors, and volunteers.
- Create and manage exhibitor and attendee registration processes.
- Maintain accurate exhibitor, sponsor, vendor, and attendee records.
- Communicate important deadlines, setup instructions, event policies, and logistical information to exhibitors.
- Coordinate exhibitor booth assignments and help maintain the event floor plan.
- Track exhibitor agreements, payments, required documents, and special requests.
- Support sponsor fulfillment, including logo placement, signage, social media recognition, and event-day visibility.
- Coordinate event signage, printed programs, name badges, exhibitor materials, and registration supplies.
- Develop an event-day schedule covering setup, exhibitor check-in, attendee registration, programming, networking, breakdown, and load-out.
- Recruit, organize, and provide instructions to event volunteers as needed.
- Manage the registration and check-in area on the day of the trade show.
- Serve as a primary point of contact for exhibitors, attendees, vendors, and venue representatives.
- Troubleshoot event-day registration, exhibitor, scheduling, and logistical issues.
- Capture or coordinate photography, short-form video, exhibitor highlights, and social media content during the trade show.
- Support post-event surveys, exhibitor follow-up, attendee communications, reporting, and performance reviews.
- Create event flyers, social media graphics, announcements, and promotional materials using Canva or Adobe Creative Cloud.
- Develop and schedule social media content across the organization’s approved channels.
- Promote meetings, meetups, the annual trade show, registration deadlines, sponsors, speakers, exhibitors, and organizational initiatives.
- Maintain a consistent and professional brand voice across digital platforms.
