Overview
The Post Oak Hotel is seeking a Sales Coordinator to join the only double Forbes Five-Star Hotel in Texas. We hire passionate and professional colleagues who genuinely delight our guests through curated and authentic experiences.
The Sales Coordinator provides essential administrative and operational support, serving as an important connection between the sales team, hotel departments and our clients. This role supports the sales process from lead management through group turnover by preparing contracts, maintaining databases, coordinating site visits, generating reports, and assisting with day-to-day office operations. The ideal candidate is proactive, highly organized and detail-oriented, with strong communication skills, a collaborative approach and a genuine passion for luxury hospitality
Responsibilities- Generate and distribute sales reports, production reports, and other operational reporting to support business review and performance tracking.
- Manage incoming leads and calls and assist with the timely assignment and distribution to the appropriate sales managers, maintaining accurate lead tracking and ensuring prompt, professional follow-up.
- Prepare contracts, group turnovers and proposals, in accordance with sales policies and guidelines.
- Assist in the preparation of resumes, VIP arrivals, and internal documentation to ensure all departments are informed and aligned ahead of group, guest arrival.
- Assist in the preparation of presentations, sales collateral, and materials for client meetings, site visits, and industry events as needed.
- Coordinate and assist with site visits, familiarization tours, and client events, including scheduling, and on-site support as needed.
- Maintain and update Delphi and CRM databases, ensuring account, contact, and opportunity information remains accurate, current, and properly organized at all times.
- Serve as a liaison between the Sales team and internal departments to ensure timely communication and follow-up.
- Support departmental projects, sales initiatives, and special assignments as directed.

- Two (2) years of experience in sales or related professional area within a Luxury Hotel.
- Display professional conduct, sound judgment, the highest level of professional integrity, and a strong work ethic.
- Critical time and project management skills.
- Previous hotel experience, luxury or Forbes experience preferred
- Ability to work flexible schedules as needed.
