Fleet Safety Coordinator
Role Summary
We are seeking a dependable and detail-oriented Fleet Safety Coordinator to support daily fleet operations and help ensure compliance with company safety standards and transportation regulations. This role is responsible for maintaining driver qualification files, monitoring fleet safety performance, coordinating training, and assisting with DOT compliance and reporting. The ideal candidate will be organized, proactive, and able to communicate effectively with drivers, management, and vendors.
Key Responsibilities
- Maintain and update driver qualification files, safety records, and fleet documentation
- Monitor compliance with DOT, FMCSA, and company safety regulations
- Assist with onboarding new drivers, including background checks, MVR reviews, and drug/alcohol testing coordination
- Track vehicle inspections, maintenance schedules, registrations, and insurance documentation
- Investigate and document accidents, incidents, and safety violations
- Coordinate safety meetings, driver training sessions, and compliance programs
- Maintain accurate records of fleet performance, fuel usage, and driver logs
- Communicate with drivers and management regarding safety concerns and corrective actions
- Prepare reports, spreadsheets, and documentation related to fleet operations and safety compliance
- Support dispatch and operations teams as needed
- High school diploma or equivalent required
- 1-3 years of experience in fleet coordination, transportation safety, logistics, or administrative support preferred
- Basic knowledge of DOT and FMCSA regulations preferred
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong organizational and multitasking skills
- Excellent communication and problem-solving abilities
- High attention to detail and recordkeeping accuracy
- Ability to work independently and in a team environment
- Experience with fleet management or GPS tracking software
- Knowledge of OSHA workplace safety standards
- Bilingual in Spanish and English
- Experience handling driver files, audits, or compliance reporting
- Intermediate Excel skills for tracking and reporting data
