The Shipping Specialist will support the Shipping and Supply Chain Department in day-to-day management of customer and/or vendor shipments. The Shipping Specialist is responsible for coordinating and executing outbound customer shipments across multiple vendors and using multiple freight forwarders. This role will coordinate with multiple departments to ensure accurate, timely and compliant shipment processing.
Key Responsibilities- Prepare and review shipping documents, including but not limited to commercial invoices, packing lists, BOLs and export documents.
- Work closely with sales to determine purchase order allocation, shipping priorities and customer‑specific requirements.
- Collaborate with internal departments such as Sales, Operations and Quality to gather shipment details and resolve discrepancies.
- Process and maintain records of shipment transactions.
- Follow up on freight deliveries and tracking.
- Help to resolve freight issues or damaged products with internal departments and customers.
- Process shipments either online via the freight companies’ software (e.g., UPS Worldship, FEDEX, Conway) or make arrangements verbally or via email with freight forwarders.
- Be capable of interpreting blocking points and troubleshooting to resolve and release parts for shipment.
- HS Diploma with demonstrated applicable job experience strongly preferred.
- Excellent written and verbal communication skills.
- Ability to work effectively in a large team environment.
- Excellent organizational, problem‑solving, and technical skills with attention to detail.
- Proficient with Microsoft Office (Word, Excel).
- ERP experience with Oracle is a plus.
- 1–3 years of experience in a shipping or logistics role.
- Working knowledge of freight forwarders, carriers and international/domestic shipping processes.
- Experience in Oracle ERP or similar.
- Experience with export shipments and documentation.
- US Citizenship or Permanent Residency is required due to government military contracts.
