Office Administrator/ Coordinator
Description
Job Summary:
The Receptionist - Contractor is responsible for assisting with administrative support requests and providing front desk coverage. Support may include tasks such as coordinating meetings and lunches, preparing documentation and presentations, and interview scheduling support.
Responsibilities:
- Front desk coverage including but not limited to phone answering and redirecting calls, greeting and signing in visitors, and clerical duties.
- Assist with shipping and receiving materials from delivery vendors.
- Assist coordinating meetings and visits which may include preparing meeting space, managing meals and accommodations, preparing meeting materials, and ensuring space always presents well.
- Assist with coordinating travel arrangements including scheduling flights, booking accommodation, and arranging other transportation as required.
- Assist with requests from internal departments for clerical support such as mailing marketing materials, processing printing requests, employee engagement and wellness notifications/activities, as needed.
- Upkeep of the emergency evacuation bags.
- Assist with various HR administrative activities, such as interview scheduling and updating candidate profiles in the HRIS.
- General administrative tasks.
- Adhere to federal and state regulations.
- Adhere to all company policies, processes, and procedures.
- Performs other duties as requested, directed, or assigned.
- Predictable and reliable attendance.
Position Qualifications:
- Associate degree in business, hospitality, or related field, or equivalent experience.
- Bachelor’s degree in business related field preferred.
- Minimum of one (1) years of administrative assistant experience required.
- Experience working in corporate office and manufacturing facility preferred.
- Must be discrete, tactful, diplomatic, and possess the ability to proactively problem-solve and provide service excellence to internal and external constituents.
- Excellent interpersonal, written, and verbal communication skills, and the ability to prioritize tasks.
- Ability to handle numerous assignments simultaneously.
- Exceptional phone etiquette and capacity to always provide exceptional customer service.
- Proficient with Microsoft Office Software, including Excel, PowerPoint, Word, and Outlook.

- Prolonged periods sitting at a desk and working on a computer.
- Constantly operates a computer and other office equipment.
- Ability to adjust focus, especially due to concentration on a computer screen.
- Ability to lift/carry 30 pounds and/or position the body to reach items on the floor/below knee level or reach overhead.
- The person in this position needs to occasionally move about in industrial environments, and on uneven terrain.
- Works in a temperature-controlled office environment, with occasional work in outdoor weather conditions, and in industrial environments.
- May be required to recognize small numbers, letters, symbols, and colors.
