Essential Duties and Responsibilities

  • Acts as the administrative agent for the Board of Health. Provides the Board with information and documentation, assists in the creation of meeting agendas, attends Board Meetings and public hearings, and takes official minutes.
  • Maintains current files and records, accurate databases, and other legal records for the Board of Health in compliance with Massachusetts Open Meeting Law.
  • Works closely with the Director of Public and Community Health and assists with all administrative tasks.
  • Prepares and submits bills, deposits, reimbursements, and Open Gov turnovers weekly; sets up new vendors and new accounts as needed.
  • Assists with weekly payroll processing, including timesheet review and PTO balance tracking.
  • Supports the Director in monitoring the annual town budget and department expenditures.
  • Prepares monthly financial reports for all Town-funded accounts; prepares financial reports for grant accounts as needed.
  • Supports the Sanitarian and Director in preparing and issuing annual and temporary permits for all Board of Health-regulated services (ex. food, body art, haulers).
  • Effectively uses department-specific software to complete related tasks, including Microsoft Office Suite, Open Gov, Squarespace, Google Suite, Munis, Civic Plus, and Diligent/Board Docs.
  • Staffs and manages the Health Department office and responds to the public’s questions and problems. Provides information/resources and makes referrals when possible; uses Health Department Tracker to track and monitor all complaints.
  • Assists the Director with some HR functions, including on-boarding paperwork and employee status change forms.
  • Assists the Board of Health, the Director and all department staff in discharging their duties relative to applicable laws and regulations.
  • Works collaboratively with other Town departments to fulfil job duties and responsibilities (ex. Finance, Clerk, HR).
  • Supports the Hudson Farmers Market by processing vendor applications and required Health Department permit documentation and fees.
  • Provides administrative support to all current and future department grant programs, including billing, spending tracking, and other financial documentation as directed. Grant programs include, but are not limited to, Metro West Shared Public Health Services, Metro West Food Collaborative, and youth substance use prevention programming.
  • Posts items on the Town’s website(Civic Plus), Health Department website (Squarespace), and social media platforms, including Facebook.
  • Supports the Director and Public Health Nurse with inventory management, volunteer management, and other tasks related to vaccine clinics, Emergency Preparedness and the Emergency Dispensing Site; assists with heating and cooling centers and mass shelters as needed.
  • Helps with the coordination of all department events, including health clinics and household hazardous waste collection events; attends and represents the department at such community events, meetings, etc.
  • Performs other duties as directed.
Supervision

Works under the administrative supervision of the Director of Public & Community Health in accordance with applicable rules, regulations, and policies. Various duties and responsibilities require the exercise of judgment and initiative, particularly in situations not clearly defined by precedent or established procedures.

Minimum Qualifications
  • Associate’s degree in business management, accounting, public administration, or related field.
  • Four years of related experience in business administration, accounting, public administration, municipal government, or an equivalent combination of education and experience.
