Human Resources Coordinator

Job Description

Reports to: Director of Human Resources

* This position is based onsite in Hudson and Marlborough, MA, five days per week. There may be an opportunity for a hybrid schedule in the future, based on business needs and role eligibility.

Summary:

Under general supervision of the Director of Human Resources, the Human Resources Coordinator performs a variety of administrative duties relating to personnel functions and programs.

General Responsibilities:
  • Fosters the ideals of Crossroads Continuum by setting an example for employees with adherence to the established philosophy, objectives, policies, and standards.
  • Completes high-quality work with minimal errors.
  • Follows and is familiar with the policies in the Employee Handbook.
  • Maintains calm and objectivity in challenging situations.
  • Maintains excellent organizational & communication skills.
  • Maintains high level of confidentiality.
  • Sets appointments and meetings.
  • Performs other duties as assigned.
Record Maintenance:
  • Maintains current HR files, including personnel, payroll, and benefits files.
  • Updates HRIS home page monthly with birthdays, anniversaries, special announcements, and other important information.
  • Maintains up to date I-9, CORI, and MVR records
  • Records certificates, certifications, licensure paperwork and other paperwork and files in personnel files.
  • Records expiration dates for CPR and First Aid certifications in HRIS.
  • Tracks policy acknowledgments in HRIS.
  • Distributes, collects, and tracks all employee performance evaluation dates and scores in HRIS
Other Administrative Responsibilities:
  • Administrative and clerical tasks such as scanning, printing, preparing emails, letters, arranging meetings and other support duties as assigned
  • Manages all work injuries, informs worker’s compensation carrier, keeps OSHA log updated
  • Manages the Service Awards program for all staff
  • Learns about recent graduates and sends congratulations email to all staff
Recruitment and Onboarding Responsibilities:
  • Assembles all new hire orientation packets
  • Covers and assists in areas of recruitment and onboarding, including job fairs
  • Assists with the collection of new hire documents
  • Creates new hire file folders and files documents accordingly
HRIS, Payroll and Benefits Administration Responsibilities:
  • Assists with entry of new employee information into HRIS
  • Maintains and updates employee information in HRIS
  • Assists all staff with ADP issues or concerns
  • Reviews all insurance invoices and ensure they match what is in ADP
Communication:
  • Follows lines of communication specified in the Organizational Chart.
  • Shares relevant information with colleagues and supervisors.
  • Asks questions when something is unknown or unclear.
  • Actively recognizes the accomplishments and contributions of others.
  • Accepts performance feedback gracefully.
  • Checks and responds to email daily.
  • Practices confidentiality and maintains a high standard of ethics.
Attendance, Participation, and Timeliness:
  • Demonstrates punctuality and an appropriate attendance record.
  • Completes timecards according to protocol.
  • Meets assigned deadlines with minimal prompts.
  • Attends and actively participates in meetings.
  • Attends Crossroads Continuum events when able (e.g., Open House, Annual 5K Walk/Run).
Educational and Experiential Requirements:
  • Bachelor’s degree in business administration or related degree preferred.
  • Minimum of 2 years of related HR/Recruiting and admin experience.
  • Experience with Linked In, Indeed, Microsoft Office.
  • Minimum 2 years of experience with ADP Workforce Now.
