Position Summary

The Sales & Move-In Coordinator supports the sales and marketing process by managing all aspects of the move-in workflow. This includes coordinating documentation, maintaining consistent communication with prospects and families, and partnering closely with sales, operations, and leadership to ensure move-ins are completed accurately, efficiently, and on time. This role is ideal for someone who enjoys working in a fast-paced, detail-oriented environment, thrives on follow-up, and wants exposure to senior living sales and community operations.

Sales & Move-In Coordinator

Key Responsibilities Sales & Move-In Coordination
  • Partner with the Community Development team to manage the move-in process from deposit through move-in day
  • Assist prospective residents and families with completing all required documentation
  • Organize, track, and distribute move-in paperwork across departments
  • Accurately represent the community’s services, programs, and pricing
Communication & Follow-Up
  • Respond promptly to calls, emails, and inquiries from prospects and families
  • Maintain consistent follow-up throughout the move-in process
  • Ensure accurate and timely documentation within the CRM and marketing systems
Tour Readiness & Community Presentation
  • Monitor model and respite rooms daily to ensure tour readiness
  • Conduct walk-throughs to ensure common areas are clean, organized, and welcoming
  • Support the presentation and readiness of model spaces as needed
Marketing & Administrative Support
  • Assist with weekly marketing and occupancy reporting
  • Support competitive market research and data tracking as requested
  • Participate in stand-up meetings and collaborate with cross-functional teams
  • Assist with community events, tours, and marketing activities
Sales & Move-In Coordinator

Required Qualifications & Experience
  • 1–3 years of experience in senior living, healthcare admissions, hospitality sales, or customer-facing roles preferred
  • Experience supporting a sales, admissions, or move-in process strongly preferred
  • Comfortable working with CRMs, databases, and detailed documentation
  • Strong organizational skills with the ability to manage multiple active move-ins
  • Excellent communication, follow-up, and customer service skills
  • Compassionate, professional, and service-oriented approach
