The Scheduling Coordinator plays a critical role in supporting the Transportation department by managing driver schedules, coordinating mobile unit maintenance, and delivering accurate, actionable reporting. This position is responsible for the day-to-day accuracy and proactive management of Game Creek Video’s scheduling management system, ensuring staffing, maintenance, and compliance needs are met in a fast-paced, deadline-driven environment.

- Mobile unit maintenance schedules are maintained with 100% accuracy and proactively coordinated
- All schedule changes are communicated clearly and consistently daily to impacted parties
- Informed scheduling decisions are based on timely, accurate reporting
- Scheduling operations remain compliant with DOT regulations and internal policies while minimizing conflicts, delays, and cost overruns
- Partner with Scheduling Manager to create, update, and manage driver job schedules in Game Creek Video’s scheduling management system
- Evaluate schedule changes quickly and assess impacts to ensure staffing needs are met; proactively resolve conflicts in a collaborative and solution-oriented manner
- Communicate daily with drivers regarding assignments, changes, expectations, and timing in a clear, professional, and timely manner
- Ensure scheduling practices align with DOT regulations, hours-of-service requirements, and company policies
- Partner with the Maintenance Manager to proactively schedule maintenance jobs with third party vendors
- Support Transportation leadership by providing staffing availability, recommendations, and scenario planning for mobile unit scheduling
- Prepare and present reports on staff utilization, workload distribution, and scheduling trends to support equitable staffing and cost management
- Serve as a reliable point of contact for time-sensitive and mission-critical scheduling issues, including off-hours support as needed
- Ability to develop and execute staffing plans in a dynamic, fast-paced environment
- Excellent written and verbal communication skills, with the ability to convey complex or sensitive information clearly
- Highly organized, detail-oriented, and self-motivated with strong follow-through
- Strong interpersonal skills and the ability to remain calm, positive, and professional under pressure
- Collaborative mindset with a demonstrated ability to build positive working relationships across teams
- Strong problem-solving skills with the ability to gather accurate information, apply sound judgment, and make timely decisions
- Proven ability to identify creative, practical solutions to complex scheduling challenges
- 3+ years of experience in a logistics, dispatching, or scheduling role
- Exceptional multitasking skills and the ability to adapt quickly to changing priorities
- High proficiency with computers and scheduling, reporting, and related software systems
- Willingness and ability to handle off-hour (nights and weekends) mission-critical scheduling issues
- Ability to travel to site locations a few times per year
