Position Description
The Associate Director, Investments, supports the Investment Team by executing operational and administrative processes related to account setup, maintenance, documentation, and routine transactions. This role ensures accurate processing of investment activity in accordance with established policies and procedures and serves as a primary point of contact for routine advisors and internal requests. The position focuses on transaction accuracy, document management, and service delivery.
Duties & Responsibilities- Serve as an authorized signer.
- Assist in the process of new account setups, transfers, and maintenance requests.
- Review assigned account liquidations under established procedures.
- Monitor shared inboxes and respond to routine inquiries.
- Resolve Salesforce cases, locked logins, and system access requests as assigned.
- Provide direct communication to advisors, custodians, and internal leadership.
- Coordinate paperwork and document corrections.
- Load and maintain completed documents within document management systems.
- Provide standard account information to advisors and internal teams.
- Monitor workflow queues and prioritize to ensure timely processing.
- Support special projects and high-volume periods.
- Escalate non-standard inquiries to senior staff.
- Execute approved processes.
- Determine workflow prioritization.
- Refer exceptions and complex matters to senior staff.
- Direct impact on operational efficiency and service quality.
- Support compliance through accurate execution.
- Limited financial or regulatory discretion.
- Bachelor’s degree in finance, business, economics, or a related field.
- 2–3+ years of experience in financial services, document processing, or investment support functions.
- Strong organizational abilities with a focus on accuracy, documentation quality, and procedural adherence.
- Proficiency in Microsoft Office applications and experience using CRM or workflow-tracking platforms.
- High attention to detail and ability to work independently within established guidelines.
- Foundational understanding of investment concepts, account structures, and operational processes.
- Familiarity with donor-advised funds or willingness to learn DAF concepts preferred.
