Overview
Position Title: Executive Assistant to the Chief Executive Officer
The Executive Assistant to the Chief Executive Officer provides high-level administrative, operational, and strategic support exclusively to the CEO. This role serves as a trusted partner and gatekeeper, enabling the CEO to operate at maximum effectiveness by managing priorities, communications, scheduling, and executive logistics with exceptional discretion and professionalism.
The ideal candidate thrives in a fast-paced, highly confidential environment and demonstrates superior judgment, organization, and executive presence. This role supports — but does not own — Board and governance-related activities through coordination and administrative assistance on behalf of the CEO.
ResponsibilitiesExecutive & Strategic Support
- Serve as the primary coordinator of the CEO’s calendar, meetings, and priorities, ensuring optimal use of executive time
- Anticipate the CEO’s needs by proactively managing deadlines, materials, logistics, and follow-up actions
- Prepare executive briefings, agendas, presentations, talking points, and summaries for internal and external meetings
- Track action items arising from executive meetings and ensure timely follow-through
Board & Senior Leadership Support (Administrative)
- Coordinate logistics for Board of Directors and Committee meetings on behalf of the CEO, including scheduling, agendas, and material distribution
- Support preparation and organization of Board materials and presentations for CEO review
- Track Board-related follow-ups and action items for the CEO
- Serve as a professional point of contact with Board members regarding scheduling and logistics

This role does not serve as Corporate Secretary and does not own formal Board minutes, governance records, or regulatory documentation.)
Confidential Communications & Executive Gatekeeping
- Manage highly sensitive and confidential communications with discretion and sound judgment
- Act as an effective gatekeeper to protect the CEO’s time while maintaining productive internal relationships
- Draft, review, and manage executive correspondence and communications
Operational & Administrative Excellence
- Oversee complex travel arrangements, itineraries, and expense management for the CEO
- Maintain organized, secure executive files and document management systems
- Support special projects, strategic initiatives, and cross-functional efforts as assigned by the CEO
Stakeholder Interaction
- Interface professionally with senior executives, Board members, investors, regulators, and external partners on behalf of the CEO
- Represent the CEO and organization with credibility, diplomacy, and executive presence
- Bachelor’s degree preferred; equivalent executive support experience considered
- 8+ years of experience supporting C-suite executives, preferably a CEO
- Demonstrated ability to manage complex calendars, competing priorities, and confidential matters
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office and executive productivity tools
- High degree of discretion, professionalism, and independent judgment
Position Type: This position is a full-time, exempt position. Typical work hours are Monday through Friday, 8:00am to 5:00pm.
