Job Title:

Administrative Assistant

Job Description

We are seeking a dedicated Administrative Assistant to provide essential support for order processing and documentation. The role focuses on data entry, scanning, filing, and preparing documents for review. You will work closely with your supervisor and support both the purchasing and production teams.

Responsibilities

+ Enter sales orders into the ERP system (Sage 100).

+ Prepare and scan contract review documents.

+ Send order confirmations to customers.

+ Organize and file purchase orders, packing certificates, and invoices.

+ Maintain logs and type documents accurately.

+ Support document flow for purchasing and accounts payable processes.

+ Perform general administrative tasks such as data entry, scanning, and filing.

Essential Skills

+ Proficiency in Microsoft Excel and Word.

+ Strong typing and computer skills.

+ Experience in a manufacturing setting.

+ Ability to work independently and reliably after training.

+ Comfort with repetitive tasks and handling high-volume paperwork.

+

Experience with an ERP system preferred, specifically Sage 100, though willingness to learn is acceptable.

+ Prior basic administrative or data entry experience is beneficial.

Work Environment

This position is based in an ITAR facility within the aerospace industry and requires 100% onsite presence. Working hours are from 6 am to 2:30 pm, with potential overtime during peak periods or heavier contract loads, including occasional Saturdays. The role is initially a long-term temporary position due to a staff member being on leave, with the potential for conversion based on workload.

The workplace is a smaller site, 5500 square feet, hosting a team of 16 people. The environment requires versatility and teamwork, with everyone wearing multiple hats. You will report directly to the operations director and work alongside another team member, with the potential for team expansion. The management style is supportive with an emphasis on training and development, allowing for independent work once you are up to speed

Job Type & Location

This is a Contract to Hire position based out of Huntington Beach, CA.

Pay and Benefits

The pay range for this position is $21.50 - $21.50/hr.
