Job Description:The Leave of Absence (LOA) Specialist serves as the internal subject matter expert for all leave programs and policies. This individual will manage complex leave cases, ensure regulatory compliance across multiple states, and act as a strategic partner to leadership and HR. The ideal candidate brings deep technical expertise in leave management along with a thoughtful, solutions-oriented approach to employee support.
Key Responsibilities:- Manage the full lifecycle of leave requests, including FMLA, CFRA, ADA, PDL, and company-sponsored leave programs from intake through return-to-work.
- Interpret and apply federal, state, and local regulations (FMLA, ADA, FEHA, PFL, etc.) to ensure company practices remain compliant and up to date.
- Lead the ADA interactive process, collaborating with employees and management to evaluate and implement reasonable accommodations.
- Advise managers and HR Business Partners on complex leave scenarios, risk considerations, and reintegration planning.
- Partner closely with third-party administrators and workers’ compensation carriers to ensure seamless case management and service level adherence.
- Analyze leave trends and program data to identify process improvements and recommend policy or workflow enhancements.
- Maintain accurate documentation within the HRIS and generate reports to support workforce planning and leadership visibility.
- 5–7 years of dedicated leave of absence administration experience, ideally within a high-volume, multi-state environment.
- Strong working knowledge of FMLA, CFRA, ADA, Workers’ Compensation, and disability programs.
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Professional certifications such as CPDM, PHR, or SHRM-CP are a plus.
- Experience working within HRIS systems (Workday, UKG/Ultimate, or similar) and advanced proficiency in Microsoft Excel.
- Excellent communication skills with the ability to explain complex regulations clearly and empathetically.
- Strong organizational and problem-solving skills with the ability to manage a high caseload while maintaining confidentiality and attention to detail.
