Job Details

  • Manage and Supervise staff in the Registration Department so that all locations in the Huntsville Region act as one seamless department
  • Manage and oversee appropriate staff coverage, especially during peak volume times and be able to shift and monitor staff at off-site locations, work with other clinic managers and supervisors
  • Recruit, hire and train new Registration Department Team Leads
  • Monitor and provide feedback on job performance to include 90-day reviews, annual evaluations, and disciplinary actions for the Team Leads
  • Assist with recruiting, hiring, training, evaluating and discipline of registration staff
  • Work with the Registration Trainer to assist with the necessary training of staff on patient registration and its importance to reduce billing errors
  • Address Team Lead ETO requests and schedules
  • Assist in decision making regarding procedures and processes within the department
  • Assist in troubleshooting departmental issues, addressing customer service issues and working with the clinical teams
  • Generate and analyze data to identify areas of improvement in order to increase efficiency and decrease wait times
  • Liaison between staff, physician/team and leadership
  • Develop positive patient experience culture
  • Assist in expanding customer service skills among staff
  • Maintain familiarity with all tasks of the department, such as weekly schedules, insurance and billing rules, and Clearwave
  • Proficiency in operating systems
  • Understand Clearwave check in procedures, including off-line workflow
  • Assist with facility operational issues within the departments
  • Assist other regions with coverage issues when needed
  • Must have the motivation to work under pressure
  • Must possess pleasant, friendly demeanor, with ability to work independently
  • Understanding of Insurance and Billing is a must
Secondary Responsibilities/Requirements For Registration Department
  • Greet and assist with check-in duties of all patients presenting for appointments at any TOC location
  • Check-out patients, to include scheduling appointments and collecting co-payments
  • Registration of patient demographics
  • Scan all documents associated with registration completion into patient charts
  • Verifying insurance
  • Ensure that all patient records are accurate and kept up to date, including information about insurance and referring information
  • Coordinate with physicians and other staff members to ensure that patients’ needs are met
  • Ensure patient records are stored securely and accessible only to authorized personnel
  • Review eligibility for healthcare coverage programs
  • Other duties as assigned

Qualifications
  • High School Diploma or GED is required
  • Preferred supervisory experience
  • Technologically savvy, with high proficiency in Microsoft Office and EHR systems (Microsoft Word, Excel, TEAMS, SharePoint, Internet)
  • Must be detail-oriented with a high degree of accuracy
  • Must be able to multi-task, prioritize, and work successfully independently and as part of a team
  • Excellent communication skills, both oral and written
  • Must maintain a strict, high level of confidentiality due to access to employee files and sensitive personal issues
  • Must be able to perform a high volume of data entry in connection with job duties
