Job SummaryPerforms routine administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
Essential Functions- Prepares and disseminates information concerning agency programs and services; assists in the development of administrative and technical assistance policies and procedures; and responds to inquiries regarding rules, regulations, policies, and procedures.
- Prepares, edits, and distributes correspondence, reports, studies, forms, summaries, manuals, vouchers, requisitions, and documents ensuring compliance with rules, regulations, policies, and procedures; assists in researching composing, designing, and editing agency publications; develops charts, graphs, and tables; and maintains filing and record keeping systems.
- Assists in planning meetings, conferences, and seminars; provides assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff; and reviews and routes mail.
- Researches, composes, designs, and edits agency publications, forms, manuals, and reports; assists in researching technical issues; and participates in the planning and execution of an agency program.
- Performs a variety of marginal duties not listed, to be determined and assigned as needed.
- Graduation from a senior high school or equivalent or GED.
- Six months full-time, wage-earning customer service, clerical, secretarial, administrative support, technical program support, or criminal justice experience. Fifteen semester hours from an accredited college or university may substitute for each six months of experience.
- Six months full-time, wage-earning experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
- Knowledge of office practices and procedures.
- Knowledge of business terminology, spelling, punctuation, and grammar.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill in problem-solving techniques.
- Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
- Skill to prepare and maintain accurate records, files, and reports.
- Skill to plan work in order to meet established guidelines.
- Skill in the electronic transmission of communications.
- Skill in Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
- Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
