Administrative Assistant IV – Operations – Data Integrity Classification and Inmate Transportation Division
Job SummaryPerforms highly complex administrative support work. Provides and coordinates administrative support, including disseminating information, developing filing systems, and preparing/executing reports and documents. Works under limited supervision with moderate latitude for initiative and independent judgment.
Essential Functions- Provide technical assistance, coordinate with various agencies and departments, and develop policies and procedures.
- Coordinate preparation, editing, and distribution of correspondence, reports, studies, forms and other documents; interpret and disseminate information concerning programs; respond to inquiries about technical program and administrative rules.
- Develop and maintain filing, record‑keeping, and records management systems; compile, edit, and enter data, make calculations, and prepare reports.
- Research, compose, design, and edit agency publications, forms, manuals, and reports; assist in researching technical issues; participate in planning and execution of an agency program.
- Provide training and technical assistance to others.
- Perform a variety of marginal duties as assigned.
- High school diploma or equivalent (GED) upon graduation.
- Two years full‑time, wage‑earning clerical, secretarial, administrative support, or technical program support experience; 15 semester hours of college credit can substitute for each six months of experience.
- Inmate classification experience preferred.
- Knowledge of principles and practices of program administration and management.
- Knowledge of applicable state and federal laws, rules, regulations and statutes.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules and regulations (preferred).
- Ability to communicate ideas and instructions clearly and concisely.
- Skill in coordinating with staff, departments, officials, agencies, organizations and the public.
- Skill in interpreting and applying rules, regulations, policies and procedures.
- Skill in administrative problem‑solving techniques.
- Skill in using computers and related equipment in stand‑alone or local area network environments.
- Skill in reviewing technical data and preparing technical reports.
- Skill in overseeing program activities.
- Skill in developing and evaluating administrative policies and procedures.
- Skill in training others.
- Ability to walk, stand, sit, kneel, push, stoop, reach, grasp, pull, bend, identify colors, use hearing aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs, perceive depth, and operate a motor vehicle and other motor equipment.
- Work inside, around machines with moving parts, radiators and electrical energy; work closely with others or alone; irregular or protracted hours; travel by car, van, bus and airplane.
- Use of computer, calculator, copier, fax machine, telephone, dolly, and automobile.
