Educational and Experience Requirement

Bachelor’s degree in a related field. Three years relevant professional experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs advanced administrative support duties and serves the College of Osteopathic Medicine (COM) Dean’s Office by helping with the operations of the college and educational affairs. Supports COM programming, assists with grants, program development, and collaborative initiatives with external stakeholders.

Primary Responsibilities

Performs complex duties for the College of Osteopathic Medicine (COM). Performs advanced administrative coordination functions requiring independent work toward defined outcomes, including developing new processes, interpreting policy, and responding to evolving operational needs with a high degree of initiative and discretion. Provides grant assistance, including coordination of proposal components, tracking submission timelines, supporting reporting requirements, and facilitating communication among internal and external partners.

Supports program development and implementation for COM educational initiatives, including planning, logistics, and continuous improvement of new and existing programs. Coordinates COM programming, special projects, strategic initiatives, and departmental processes across departments and stakeholder groups. Manages meetings and communications involving faculty, staff, students, and external partners. Monitors project timelines, identifies challenges, and recommends process improvements to enhance efficiency and effectiveness.

Supports Dean’s Office initiatives, activities, facility needs, and special projects. Collects, maintains, and submits materials for compliance. Tracks and monitors committee service. Collects, reconciles, and maintains Dean’s Office and Educational Affairs data. Maintains pertinent policies and procedures, ensuring documents remain current and accessible. Submits invoices and payment requests. Works with executive staff to arrange meetings related to student matters. Runs reports on expenditures, travel, and other college-level transactions.

Collaborates with faculty, staff, students, and campus partners to enhance Dean’s Office operations and college educational programs. Performs other related duties as assigned.

Other Specifications

Requires detailed knowledge of university infrastructure, policies and procedures. Requires thorough knowledge of office systems. Must have the ability to solve operational problems and make suggestions for process improvement.
