Blue Kangaroo Packoutz is seeking a detail-driven Operations Administrative Assistant to support our contents restoration team. This role is central to building accurate estimates, processing insurance documentation, and keeping every job file organized from first inventory to final invoice. You'll work closely with Operations Managers, Project Managers, and insurance adjusters to make sure every job is captured, priced, and documented to a professional standard.
Key Responsibilities- Assist in building and formatting contents estimates in Xactimate, following BKP's standard grouping and header conventions (Pack Out, Cleaning, Pack Back)
- Enter and verify claim info, insured details, and billing/mailing addresses using BKP formatting standards
- Build estimates with box coding, labor entries, cleaning tiers, and moving/storage line items
- Track and organize job documentation: photos, inventories, labor logs, signed authorizations, and adjuster correspondence
- Communicate with insurance adjusters and third-party consultants to request approvals, follow up on outstanding items, and log response timelines
- Maintain organized digital files across Google Workspace and Microsoft Office (Docs/Sheets/Drive, Word/Excel/Outlook)
- Support the team in closing files — tracking undisputed sums, payment deadlines, and outstanding documentation requests
- Help maintain accurate records for compliance with claims-handling timelines
- General administrative support: scheduling, data entry, filing, and cross-team coordination
- Prior experience with Xactimate strongly preferred (estimate building, line-item coding, reports/exports)
- Familiarity with property insurance claims processes — adjusters, claim files, documentation requirements, and standard timelines
- Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail) and Microsoft Office Suite (Word, Excel, Outlook)
- Exceptional attention to detail — comfortable double-checking names, addresses, line-item coverage, and totals before anything goes out the door
- Strong organizational skills; able to manage multiple job files simultaneously without losing track of details
- Clear, professional written communication for customer- and adjuster-facing documents
- Comfortable following established formatting standards and escalating suggested changes rather than editing live documents
- Prior experience in restoration, insurance, moving/storage, or a related field is a plus
- Estimates are formatted consistently, priced accurately, and free of errors before they reach an adjuster
- Job files are complete and easy for anyone — customer, teammate, or adjuster — to follow at a glance
- Nothing falls through the cracks: every hour, consumable, and cost is captured and nothing sits unresolved
