The Law Enforcement Records Clerk is a first point of contact for citizens visiting the Hutto Police Department. The person in this position will coordinate front-desk activities, distribute correspondence, accept payment for permits and other products, and direct and redirect incoming calls. Assist the Administrative unit that includes, training, recruiting, property and evidence, fleet maintenance and purchasing and records. Must be able to maintain a high level of confidentiality and possess a valid Texas Class C driver license.
ESSENTIALDUTIES
- Provides excellent customer service to citizens and internal customers.
- Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately.
- Answers the telephone in a clear, concise, and professional manner and directs the call to the appropriate destination.
- Provides general assistance to include filing, mailing of letters and packages, sorting and retrieving records; inputting data using various computer equipment and software; photocopying; collating materials; maintaining office supplies; sorting and distributing incoming mail; assisting the training and recruiting unit, assisting the property and evidence unit; providing administrative support assistance in order to enable staff to effectively, efficiently and promptly perform their duties.
- Assists with special projects and other units and divisions as assigned.
- Process Permits applications
- Process open record requests and record retention.
- Process training requests, makes accommodation and travel arrangements.
- Responsible formaintainingaccuraterecords of any financial transactions.
- Enters Law enforcement data into the systemon a daily basissuch as Child Protection Services, Adult Protection Services or the like cases, and accident reports.
- Process information and documents pertaining tothe department in a confidential mannerin accordance with department
- General Orders, Standard Operating Procedures and city policy.
- Perform job with special attention to positive customer service, safety, and proper office procedures so as to maintain compliance with department policy.
- Ensure compliance with city purchasing guidelines and city policy.
- Solicit quotes and competitive bids from vendors.
- Create purchasing requisitions.
- Track department purchases.
- Assist other administrative staff as needed or required.
- Perform other duties as assigned in support of departmental and City objectives.
