Job Description
This role provides vital financial and administrative support to project teams by managing day-to-day project accounting activities and ensuring accurate, organized records. The bookkeeper partners closely with project managers and an outsourced accounting team to handle budgeting, cost tracking, invoicing, and compliance documentation for projects, including federal contracts. This position offers the opportunity to learn, grow, and take on increasing responsibility within a small, collaborative company environment.
Responsibilities
+ Partner closely with project managers to support project financial and administrative operations.
+ Assist with project budgeting, cost tracking, and maintaining accurate financial documentation for each project.
+ Coordinate with the outsourced accounting team on accounts payable, accounts receivable, invoicing, and financial reporting.
+ Review and process subcontractor invoices and payment requests in a timely and accurate manner.
+ Prepare purchase orders, subcontract agreements, and change orders to support ongoing project activities.
+ Collect and maintain up-to-date Certificates of Insurance (COIs) and bond information for subcontractors and projects.
+ Obtain and track subcontractor lien releases and related compliance documentation to support project and contract requirements.
+ Collect weekly certified payroll reports from subcontractors and ensure they are complete and properly filed.
+ Support subcontractor onboarding, including badging and security clearance requirements for federal projects.
+ Assist with reconciliations, billing support, month-end activities, and audit preparation as needed.
+ Resolve invoice and payment discrepancies by collaborating with project teams and accounting partners.
+ Ensure compliance with internal policies and federal contract requirements in all financial and administrative processes.
+ Maintain organized project and financial records using Quick Books, Excel, Docu Sign, Adobe Acrobat, and other internal systems.
+ Perform accurate data entry and filing to keep records current and easily accessible.
+ Provide administrative support to project and accounting teams, including document preparation and general office tasks.
+ Demonstrate punctuality, reliability, and strong follow-through in completing assigned responsibilities.
+ Contribute to a positive, team-first environment by being willing to take on multiple tasks and help where needed.
Essential Skills
+ Associate's or Bachelor's degree in Accounting, Finance, Business, Construction Management, or a related field preferred.
+ Entry-level candidates are encouraged to apply; relevant internships, coursework, or administrative/accounting experience are a plus.
+ Strong organizational skills with excellent attention to detail.
+ Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
+ Professional written and verbal communication skills.
+ Proficiency in Microsoft Excel, Word, Outlook, and Adobe Acrobat.
+ Basic understanding of accounting principles, including accounts payable, accounts receivable, invoicing, and bookkeeping.
+ Experience or aptitude for working with Quick Books or similar accounting software.
+ Strong data entry skills and accuracy in handling financial information.
+ Reliable, punctual, and dependable with a demonstrated commitment to professionalism.
+ Strong note-taking and follow-through skills to ensure tasks and action items are completed.
+ Positive attitude with a strong willingness to learn and take on new responsibilities.
+ Ability to collaborate effectively with project managers, subcontractors, and accounting partners.
Additional
Skills & Qualifications
+ Experience in construction, government contracting, project accounting, subcontract administration, or related industries.
+ Exposure to accounts payable, accounts receivable, invoicing, budgeting, or project cost tracking.
+ Experience working with Quick Books or similar accounting software.
+ Knowledge of certified payroll processes and reporting requirements.
+ Familiarity with lien releases, Certificates of Insurance (COIs), surety bonds, and subcontractor compliance documentation.
+ Experience supporting subcontractor onboarding, including badging and security clearance for federal projects.
+ Familiarity with federal contracting platforms such as WAWF/PIEE or IPP is a plus; training will be provided.
+ Demonstrated ability to work proactively, anticipate needs, and contribute ideas for process improvements.
+ Comfort working in a small team environment and willingness to wear multiple hats.
+ Interest in developing a long-term career in accounting, project finance, or construction-related administration.
Job Type & Location
This is a Contract to Hire position based out of Hyattsville, MD.
Pay and Benefits
The pay range for this position is $21.00 - $29.00/hr.
