Role Overview

We are seeking a Receptionist / Front Desk Coordinator to serve as the first point of contact for clients, visitors, and callers. This role is ideal for someone who is professional, personable, detail-oriented, and comfortable working in a fast-paced office setting.

The receptionist plays a key role in client experience, office coordination, and daily administrative support

Key Responsibilities Front Desk & Client Experience
  • Greet clients and visitors warmly and professionally
  • Answer and route incoming phone calls with accuracy and professionalism
  • Manage front desk scheduling and appointment coordination
  • Maintain a clean, organized, and welcoming reception area
Administrative & Office Support
  • Manage incoming and outgoing mail and deliveries
  • Assist with data entry, document preparation, and filing
  • Support advisors and staff with administrative tasks as needed
  • Order office supplies and assist with office organization
Scheduling & Coordination
  • Confirm client appointments and assist with calendar coordination
  • Support meeting setup (conference rooms, refreshments, materials)
  • Assist with internal coordination between advisors, operations, and marketing
Professional Standards
  • Maintain client confidentiality and discretion at all times
  • Adhere to firm policies and professional standards
  • Represent the firm with professionalism in all interactions
Qualifications
  • Prior experience as a receptionist, front desk coordinator, or administrative assistant preferred
  • Strong verbal and written communication skills
  • Professional phone etiquette and in-person presence
  • Highly organized with strong attention to detail
  • Comfortable with Microsoft Office, Google Workspace, and basic office systems
  • Ability to multitask and stay calm in a busy environment
