Role OverviewWe are seeking a Receptionist / Front Desk Coordinator to serve as the first point of contact for clients, visitors, and callers. This role is ideal for someone who is professional, personable, detail-oriented, and comfortable working in a fast-paced office setting.
The receptionist plays a key role in client experience, office coordination, and daily administrative support
.
- Greet clients and visitors warmly and professionally
- Answer and route incoming phone calls with accuracy and professionalism
- Manage front desk scheduling and appointment coordination
- Maintain a clean, organized, and welcoming reception area
- Manage incoming and outgoing mail and deliveries
- Assist with data entry, document preparation, and filing
- Support advisors and staff with administrative tasks as needed
- Order office supplies and assist with office organization
- Confirm client appointments and assist with calendar coordination
- Support meeting setup (conference rooms, refreshments, materials)
- Assist with internal coordination between advisors, operations, and marketing
- Maintain client confidentiality and discretion at all times
- Adhere to firm policies and professional standards
- Represent the firm with professionalism in all interactions
- Prior experience as a receptionist, front desk coordinator, or administrative assistant preferred
- Strong verbal and written communication skills
- Professional phone etiquette and in-person presence
- Highly organized with strong attention to detail
- Comfortable with Microsoft Office, Google Workspace, and basic office systems
- Ability to multitask and stay calm in a busy environment
- Friendly, welcoming, and client-focused personality
- Reliable and punctual
- Able to take direction and work independently
- Experience in a professional office environment (financial services, legal, medical, or corporate office a plus)
