Administrative Coordinator
Job Description
The Administrative Coordinator provides critical support to a busy department by managing customer calls, coordinating service requests, and maintaining accurate project and operational records. This role combines administrative support, customer interaction, and operational coordination to ensure projects and customer needs are handled efficiently and professionally.
Responsibilities
+ Answer incoming customer calls and document service requests clearly and accurately.
+ Serve as a primary point of contact for existing customers, providing professional, timely, and courteous support.
+ Communicate customer needs, project details, and updates to internal sales and operations teams.
+ Enter project information, notes, and status updates into company software systems in a consistent and accurate manner.
+ Maintain organized and up-to-date records through data entry and general administrative support functions.
+ Input technician labor hours and timekeeping information into the system to support payroll and scheduling processes.
+ Assist with preparing documentation for invoicing and billing, ensuring completeness and accuracy.
+ Support department leadership by handling a variety of administrative tasks and helping streamline daily operations.
+ Coordinate and manage clerical activities to ensure projects and customer requests are properly tracked and followed through to completion.
+ Collaborate with field technicians, sales, and operations staff to support efficient service delivery and project execution.
+ Help monitor service requests, schedules, and documentation to keep the department organized and responsive.
Essential Skills
+ Minimum of 2+ years of administrative, customer service, or office support experience.
+ Strong data entry skills with a high level of accuracy and attention to detail.
+ Excellent organizational skills and the ability to maintain orderly records and documentation.
+ Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
+ Strong communication skills, both verbal and written, with the ability to work effectively with customers and internal teams.
+ Ability to manage multiple priorities and tasks in a fast-paced environment.
+ Demonstrated experience providing administrative support, clerical assistance, and customer service.
+ Comfort working with office software and systems for scheduling, documentation, and communication.
Additional
Skills & Qualifications
+ Experience working with scheduling, payroll, dispatching, ERP, or service management software is preferred.
+ Background in electrical, HVAC, construction, or a related service industry is highly preferred.
+ Understanding of electrical service terminology and project workflows is a plus.
+ Experience supporting field technicians or service operations teams is beneficial.
+ Familiarity with job costing, service ticket management, payroll entry, or invoice preparation is an advantage.
+ Customer support and sales support experience is helpful.
+ Experience using Microsoft Excel and Outlook in a professional setting.
+ Ability to collaborate across departments and contribute to continuous improvement of administrative processes.
Work Environment
This is an on-site, full-time position in a busy, service-oriented office environment. The standard schedule is 7:00 AM to 4:00 PM, with flexibility to start as early as 5:00 AM as needed to support operations and customer needs. The role involves frequent use of computers, company software systems, and the Microsoft Office Suite, including Outlook, Word, and Excel. You will work closely with sales, operations, and field service teams in a collaborative setting focused on responsive customer service and efficient project coordination.

This is a Permanent position based out of Hyattsville, MD.
Pay and Benefits
The pay range for this position is $60000.00 - $79000.00/yr.
