Overview

We are seeking a dedicated and organized Business Support Specialist to oversee financial management across multiple affiliated businesses. This role is pivotal in maintaining smooth business processes, supporting team members, and contributing to the financial health and operational growth of our companies.

This position supports several businesses, each with its own operational needs and evolving procedures. The ideal candidate is flexible and adaptable, able to stay calm and focused during periods of change and growth. As we continue to improve and standardize our systems, this role requires patience with ongoing process development and confidence in giving and receiving direct feedback. Key Responsibilities Office Management & HR
  • Oversee financial operations, ensuring efficiency and organization.
  • Assist with basic HR administrative duties, including employee records and onboarding.
  • Assist with timesheet entries and payroll preparation.
Bookkeeping & Financial Management
  • Perform full-cycle bookkeeping, including accounts payable, accounts receivable, cash handling, and bank reconciliations.
  • Manage budgeting, forecasting, and financial reporting.
  • Execute Controller-level duties specific to the construction industry, maintaining accurate job costing and financial oversight.
  • Assist with construction project management, contracts, and financial accounting, including draw requests.
  • Handle collections, including follow-up calls on outstanding balances.
Payroll & Certified Payroll Reporting
  • Support payroll processing across multiple companies, ensuring accuracy and timeliness.
  • Review and verify employee time records for payroll and job costing purposes.
  • Assist with certified payroll preparation and reporting for public works and prevailing wage projects.
  • Maintain compliance with state and federal payroll reporting requirements, including proper documentation and record retention.
  • Coordinate payroll-related data with external payroll providers, accountants, or auditors as needed.
Customer Service & Dispatch Support
  • Answer phones, address client inquiries, and resolve conflicts professionally, as needed to support other team members.
  • Assist with service dispatching and scheduling of work orders, as needed.
  • Serve as an additional point of contact for customer concerns and support, as needed.
Team & Administrative Support
  • Assist other team members with various administrative and operational tasks, as needed.
  • Take on additional office duties to support company objectives, as needed.
Qualifications
  • Proven experience in office management, bookkeeping, and customer service.
  • Experience with Quick Books Online / Intuit Enterprise Suite and inventory management required.
  • Familiarity with payroll processing and certified payroll reporting strongly preferred.
  • Experience with construction accounting practices, project management, and contract administration is a plus.
  • Excellent organizational and multitasking abilities.
  • Strong communication and conflict-resolution skills.
  • Comfortable with change and direct feedback in a fast-paced, evolving work environment.
  • Proficiency in accounting software and Microsoft Office Suite/Google Workspace.
